Position Description:
The Night School Administrator leads the daily operation and expansion efforts of The Excel Center’s night school program and supports adult students in earning a high school diploma and preparing for postsecondary education, workforce credentials, and employment. Reporting to the School Director, this position combines school administration, life coaching, and registrar responsibilities to meet the needs of a smaller evening program.
The administrator provides a consistent leadership presence on campus, supports instructional staff, manages student enrollment and records, and works directly with students to remove barriers to attendance and academic progress. The role balances program oversight with hands-on service and maintains a safe, welcoming, and accountable learning environment.
Essential Duties and Responsibilities:
- Directs daily night school operations, including schedules, staff coverage, classroom readiness, student services, and coordination with daytime school personnel.
- Maintains a visible campus presence during evening operations; responds to student concerns, discipline matters, and emergencies in accordance with school procedures and promptly escalates issues requiring additional support.
- Supports and supervises assigned team members, facilitates communication, and provides coaching and performance feedback. Coordinates staffing, professional development, and formal personnel actions with the School Directors.
- Works with instructional staff to support rigorous instruction, appropriate course offerings, and individual learning plans aligned with student needs and graduation goals.
- Monitors enrollment, attendance, retention, credit attainment, and graduation progress; reports results and recommends improvements to the School Directors.
- Coordinates recruitment, orientation, and community outreach. Monitors evening program resource needs and expenditures within approved budgets and delegated authority.
- Serves as the primary life coach and student advocate for assigned night school students, building supportive relationships and maintaining regular individual or group contact.
- Leads student intake and orientation, identifies educational and career goals, and helps students understand school expectations, available services, and pathways to graduation.
- Develops and monitors individualized graduation plans and class schedules with instructors and appropriate school personnel; identifies prior learning or life experiences for review under approved credit procedures.
- Tracks attendance, academic progress, and engagement; follows up promptly on absences and concerns and coordinates interventions to support persistence and completion.
- Helps students address barriers such as transportation, work schedules, family responsibilities, and access to community services. Connects students with available resources and follows up on referrals.
- Responds to student crises within the scope of the position, maintains appropriate professional boundaries, and refers students to qualified school or community personnel as needed.
- Coordinates access to college and career planning, workforce credentials, and transition support. Provides tutoring or classroom coverage when assigned and appropriately qualified.
- Manages night school enrollment, registration, and required admissions documentation; creates and maintains complete, organized, and audit-ready student files.
- Maintains accurate, current student information system records, including enrollment status, schedules, attendance, grades, credits, and graduation progress.
- Registers students in appropriate courses each term and provides schedules, rosters, attendance records, and other instructional documentation to students and staff.
- Coordinates timely and accurate grade submission with instructors, resolves record discrepancies, and prepares enrollment, attendance, and student progress reports.
- Requests, reviews, and processes student records and transcripts under established procedures; issues authorized transcripts and verification letters and safeguards confidential information in accordance with FERPA and school policy.
- Verifies graduation eligibility with appropriate school personnel and assists with graduation preparations. Provides front-office support, including inquiries, phone calls, scanning, and student communications.
- Coordinates with the School Director and daytime teams to maintain consistent procedures, service continuity, and adherence to the Excel Center model and applicable school requirements.
- Participates in required team meetings, training, professional development, and school events; maintains regular and consistent in-person attendance.

- Performs other duties as assigned.
Minimum Qualifications (Education, Experience, Skills):
- Bachelor’s degree in education, social work, counseling, administration, or a related field.
- At least three years of relevant experience in education, coaching, advising, student services, or school administration, with demonstrated responsibility for coordinating people or processes.
- Ability to manage student records, enrollment processes, and confidential information accurately; proficiency with student information systems, Microsoft Outlook, Word, and Excel.
- Strong communication, relationship-building, problem-solving, organization, and data analysis skills; ability to balance student needs, administrative deadlines, and changing priorities.
- Ability to support a diverse adult student population, enforce school expectations consistently, and connect students with appropriate community resources.
- Availability to work the assigned evening schedule and attend required meetings and events; valid driver’s license and acceptable motor vehicle record for assigned driving duties.
- Ability to satisfy required background, OACIS, State Board of Education disciplinary, fingerprint clearance card, and drug screening requirements.
- Experience in adult education or a non-traditional school setting, including work with students facing barriers to educational completion preferred.
- Supervisory or school leadership experience and experience with school records, transcript review, graduation requirements, and student retention preferred.
- Current teaching certification; principal, ESL, special education, or dual certification; or a master’s degree in a related field preferred.
- Bilingual proficiency in English and Spanish preferred.
