The Unit Coordinator facilitates coordination of care across clinical services by scheduling patient appointments, supporting patient advocacy, and relaying medical communications from the care team. This role requires frequent interaction with patients and multiple departments, ensuring accurate demographic and insurance information while aligning appointments with organizational guidelines. The Unit Coordinator provides clear instructions, manages scheduling changes, and maintains precise records while delivering high-quality customer service in a fast-paced healthcare environment.
Essential Duties and Responsibilities:
Coordinates unit care activities to support providers and patient care staff.
- Schedule, reschedule, and cancel patient appointments based on provider availability and clinical guidelines
- Verify patient demographics, insurance coverage, and referral or authorization requirements
- Maintain and update scheduling systems or electronic health records (EHR) with accurate information
- Advocates for patients by providing feedback to care teams and other management
- Effectively uses communication systems for both routine and emergency transactions and communications
- Ensure compliance with HIPAA and organizational policies regarding patient confidentiality
- Assist with insurance pre-authorizations and referrals as needed
Performs telephone, refills and order encounters or direct communication with care team in a timely fashion to meet patient needs.
- Works with outside healthcare agencies to facilitate patient appointments and referrals
- Answer incoming calls and messages, addressing patient questions and resolving scheduling issues
- Review provider orders for accuracy and ensure all required information is obtained prior to scheduling
- Provide patients with appointment details, preparation instructions, and necessary documentation requirements

Requirements
Education & Licensure:
- High School diploma/GED
Experience:
- One year of experience in customer service, patient registration, or other similar role in a healthcare setting preferred
Competencies:
Knowledge, Skills & Abilities:
- Medical Terminology knowledge is preferred
- Excellent communication and listening skills
- Demonstrated ability to work independently with little direction and manage multiple demands and priorities
- Time management and prioritizing multiple tasks
- Ability to think independently and make decisions as necessary
- Excellent customer service skills
Physical Requirements
- Prolonged periods of sitting at a desk and working on a computer
- Prolonged periods of standing, bending, and reaching
