Overview

A loving family living of three living in Sarasota, FL is seeking a full-time house manager to join their team.  The home has a rotating chefs, a housekeeper, deep cleaners that come in twice a week and a nanny for the daughter.  The schedule will be Monday through Friday.  There are two homes next to each other on the property.  The housekeeper will sepdn the morning is in the main residence, tidying up, putting things back where they belong and putting all the laundry away from the prior day.  Afternoon, is spent next door where the laundryroom is set up, the chef prepares the food and the house manager would work from, as needed.  Afternoons in the main residence are meant for the family to have privately.  The position is ready to hire immediately upon finding the right candidate.  This is a live-out position, however the family is happy to help with relocation, if needed.

Responsibilities

  • Two approximately 100-year-old historic homes, so there are essentially always maintenance issues, repairs, projects, or improvements happening.
  • There are often 10+ projects happening simultaneously, so needs to be excellent at tracking details, deadlines, vendors, budgets, and follow-up.
  • Key responsibilities would include:
    • Conducting regular/daily walkthroughs of the homes.
    • Identifying maintenance, repair, safety, or organizational issues before they become problems.
    • Maintaining a running list of household projects and outstanding issues.
    • Coordinating contractors, tradespeople, vendors, and service providers.
    • Obtaining multiple quotes when appropriate and helping determine the best vendor/value.
    • Scheduling and overseeing repairs and maintenance.
    • Following up consistently to make sure projects are actually completed properly.
    • Managing and coordinating home improvement, renovation, remodeling, and construction projects.
    • Being comfortable overseeing multiple projects at different stages simultaneously.
    • Tracking household expenses and assisting with budgeting and project costs.
    • Keeping household supplies adequately stocked, including paper products, cleaning supplies, and other essentials.
    • Maintaining an organized inventory of household needs and anticipating purchases before we run out.
    • Coordinating with our existing staff when necessary, although this person would not be primarily responsible for managing personnel/HR.
  • We already have an HR manager who handles our household staff, so we do not need staff management.
  • What we really need is someone who can manage the physical homes and everything that needs to happen within them.
  • Experience with historic homes, construction, renovations, remodeling, preventative maintenance, and vendor/contractor management would be especially valuable.
  • The House Manager should be comfortable working independently and essentially owning the operational side of the homes rather than waiting to be told what needs to be done.
  • We also have a home in Ohio that we visit approximately 3–4 times per year.
    • There is already someone who watches and cleans the property, so we don't need a full-time manager there.
    • When we are planning to visit, we'd like the House Manager to go ahead of us to:
      • Walk through the home.
      • Make sure everything is in working order.
      • Coordinate any necessary maintenance.
      • Stock the house with food and household essentials.
      • Make sure anything we need for our arrival is prepared.
      • Ensure the house is generally ready and presentable before we arrive.
  • We also have a home in Atlanta, although we rarely use it currently.
    • It is presently covered by cleaners, so we don't anticipate significant ongoing management there.
  • When we travel to any of our properties, the House Manager should be capable of preparing the property ahead of our arrival and coordinating any necessary maintenance or projects while we're away.

Requirements

  • Must be legal to work in the US
  • Proven experience managing a private residence or multiple private residences.
  • Strong background in household operations and project management.
  • Experience overseeing renovations, construction, remodeling, or major home projects is highly desirable.
  • Extremely organized and detail-oriented.
  • Proactive and able to identify what needs to be done without being asked.
  • Strong follow-through — someone who will continue following up with a contractor until a project is actually finished.
  • Comfortable managing budgets, quotes, vendors, timelines, and competing priorities.
  • Experience with historic homes would be a major plus.
  • Able to work independently and exercise good judgment.
  • Comfortable traveling between our properties when necessary.
  • Live-out - Must already be local, a commutable distance or open to relocating.
