Job Summary

We are seeking a resourceful, innovative, forward-thinking, and highly motivated professional who thrives in a fast-paced, customer-focused environment and is committed to operational excellence. The successful candidate must be able to work a flexible schedule, including evenings, weekends, and holidays as required by the event calendar.

The Associate Box Office Manager will support the daily operations of the Box Office and assist with all facets of venue operations, with primary responsibility for ticketing administration, financial accountability, guest services, and operational support. This position requires exceptional organizational skills, sound judgment, attention to detail, and the ability to effectively manage multiple priorities while maintaining outstanding customer service.

Job Description

Essential Responsibilities

 

Responsibilities include, but are not limited to, the following:

 

  • Ticketing Operations – Coordinate and oversee all ticketing functions for assigned events, ensuring timely and accurate completion of event builds, ticket counts, inventory management, ticket requests, will call operations, guest lists, and settlement preparation. Administer ticketing initiatives including, but not limited to, presales, promotional offers, sponsorship programs, fan club sales, VIP packages, and fundraising or auction programs. Serve as a primary liaison with promoters, clients, ticketing vendors, event representatives, and internal departments to ensure successful event execution.
  • Leadership & Staff Development – Assist in recruiting, training, supervising, scheduling, and motivating Box Office staff. Foster a collaborative, customer-focused work environment while establishing performance expectations, communicating event-specific information, and holding staff accountable for delivering exceptional guest service.
  • Financial Administration & Reporting – Prepare and reconcile accurate financial reports related to ticket sales and ancillary revenues. Perform daily balancing of cash receipts, credit card transactions, deposits, settlements, and event reconciliations while maintaining organized records in accordance with university and venue financial procedures.
  • Guest Relations – Deliver exceptional customer service by responding to guest inquiries and resolving concerns professionally, tactfully, and efficiently. Exercise sound judgment when addressing sensitive or potentially volatile situations while maintaining a positive guest experience through in-person, telephone, and electronic communications.
  • Technical Systems Administration – Support the operation and maintenance of ticketing software, hardware, databases, and related technology. Remain current on ticketing platforms, Microsoft Office applications, payment processing systems, and emerging industry technologies to ensure efficient and reliable Box Office operations.
  • Operational Support – Provide administrative and operational assistance to other Lakefront Arena departments as needed, contributing to the successful execution of concerts, athletic events, commencements, and special events.
  • University Athletic Department Ticketing – Primary contact for any University Athletic Department ticketing requirements.  Attend planning meetings, coordinate and execute Box Office ticketing operations, and provide staffing for athletic events as assigned.
  • Management Support – Assume the responsibilities of the Box Office Manager during periods of absence, ensuring continuity of operations, staff supervision, and financial accountability.
  • Business Office Support – Assist the Business Manager with financial, administrative, and operational assignments as needed to support overall venue operations.
  • Other Duties – Perform other related duties and special projects as assigned in support of the mission and operational objectives of Lakefront Arena.

 

Required Qualifications

  • Bachelor's degree in Accounting, Business Administration, Hospitality Management, Event Management, or a closely related field.
  • Previous experience in computerized ticketing operations.
  • Significant supervisory or management experience in a computerized ticketing environment may be substituted for the required degree on a year-for-year basis.
  • Ability to work a flexible schedule, including evenings, weekends, holidays, and extended hours as required by event operations.

 

Desired Qualifications

  • Comprehensive knowledge of box office operations, ticketing systems, event management, and customer service best practices.
  • Demonstrated experience in financial reconciliation, cash handling, revenue accountability, and accounting procedures.
  • Experience with computerized ticketing platforms, with Ticketmaster Host and/or Archtics experience strongly preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and the ability to quickly learn new software applications.
  • Excellent interpersonal, customer service, conflict resolution, and relationship management skills.
  • Strong written and verbal communication skills with the ability to effectively communicate with guests, staff, promoters, clients, and vendors.
  • Experience working in an arena, stadium, performing arts center, university venue, or other high-volume public assembly facility is preferred.
  • Knowledge of PCI compliance, payment processing, and cash control procedures is desirable.

  • Maintain confidentiality of financial, operational, and customer information.
  • Demonstrate proficiency with computerized ticketing systems and the ability to adapt to evolving technologies and software platforms.
  • Maintain a consistently professional demeanor and strong work ethic while working extended hours, including nights, weekends, and holidays, as dictated by the event schedule.
  • Establish and maintain effective working relationships with university departments, promoters, clients, vendors, event personnel, and the general public.
