Position Summary: The VIP Event Planner will assess and conceptualize clients’ needs and desires for a variety of meetings, to include internal events, VIP events, and special event planning.
Essential Functions:
- Adhere to standards of operations, policies, procedures, instructions, etc.,
- Maintain a complete database of accounts.
- Conduct site tours for potential wedding and catering events.
- Plan, sell, and service all groups assigned by the Senior Sales Catering Manager.
- Prepares Banquet Event Orders and Resumes, constantly planning and reviewing the group’s details and changes.
- Ensure all Confirmations, P.O.s, etc are completed and detailed.
- Follow all established Standards of Operation, policies, and procedures – generating and completing all necessary forms, correspondence, etc.
- Properly convey rate and package information within approved limits to maximize and protect our overall resort revenue yields.
- Perform in a manner that demonstrates the philosophies of Big Cedar Lodge.
- Ensure all arrangements discussed meet guest specifications.
- Promote all company properties and offer information to clients to cross sell the brand.
- Work closely with all departments such as Sales, Banquets, and Group Rooms to ensure that all details are communicated to ensure a successful guests experience.
- Compiles a list of prospective event locations; visits locations with clients and provides guidance on the final selection.
- Compiles price lists and negotiates contracts for services, dates, times, and spaces.
- Consults with clients and coordinates with staff to plan and develop event schedule, topics, and featured speakers.
- Ensures that events meet legal, safety, and health requirements and regulations; obtains necessary permits from fire and health departments.
- Coordinates transportation for guests, attendees, speakers, or other parties.
- Coordinates registration process for event participants.
- Manages all administrative duties and details associated with the event including financial operations, distribution of promotional materials, and responding to inquiries.
- Produce visuals to include power point and publisher presentations.
- Logging and filing event history details for future reference.
- Facilitating the primary point of contract for particular groups.
- Performs other related duties as assigned.
Candidate Profile:
Education and Experience:
- High school diploma or GED
- 2 years or more related experience in sales work, management operations, or related professional area
Knowledge, Skills, and Abilities:
- Remain current with all pertinent computer software programs and equipment relative to job – Delphi, Outlook, etc.
- Have working knowledge of all departments, Big Cedar Lodge, and the resort’s amenities.
- Participate in all department meetings to include BEO, Huddle, Staff, Pre-Cons, etc.

- Basic Computer Skills - Using basic computer hardware and software (e.g., personal computers, word processing software, Internet browsers, etc.).
- Reading Comprehension - Understanding written sentences and paragraphs in work related documents.

- Clerical - Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, stenography and transcription, designing forms, and other office procedures and terminology.
