Job Description Summary

The Dock Operations Coordinator supports the daily execution of dock, shipping, receiving, and transportation activities within a high-volume logistics environment. This role serves as a key coordination point between carriers, tenants, vendors, and facility operations teams to ensure the efficient movement of freight and materials throughout the property.
The Dock Operations Coordinator is responsible for scheduling dock activity, maintaining operational documentation, supporting carrier communications, tracking performance data, and assisting with workflow execution. This position plays a critical role in ensuring operational continuity, customer service excellence, and compliance with established safety and transportation procedures.

Dock Operations Coordination

  • Coordinate daily shipping, receiving, and freight movement activities to support efficient dock operations.
  • Schedule dock appointments and maintain carrier arrival and departure schedules.
  • Communicate operational priorities and scheduling changes to carriers, vendors, tenants, and internal stakeholders.
  • Monitor dock activity and assist in resolving routine operational issues.
  • Support efficient dock utilization and freight flow across multiple loading areas.

Carrier & Logistics Coordination

  • Serve as a primary contact for carriers, drivers, and transportation providers regarding scheduling and operational requirements.
  • Verify carrier documentation and arrival information.
  • Coordinate shipment status updates and communicate delays or service disruptions.
  • Escalate transportation issues, shipment discrepancies, and service concerns to Dock Management.
  • Assist in maintaining positive working relationships with transportation partners.

Documentation & Records Management

  • Prepare, review, and maintain shipping and receiving documentation, including Bills of Lading (BOLs), delivery receipts, manifests, packing lists, and freight records.
  • Ensure accurate data entry within locally developed systems/tools.
  • Maintain organized operational records and documentation.
  • Support freight claims, discrepancy investigations, and documentation requests.
  • Assist with audit preparation and records retention requirements.

Customer, Tenant & Stakeholder Support

  • Serve as a point of contact for routine dock-related inquiries from tenants, customers, vendors, and internal departments.
  • Coordinate dock access requirements, delivery schedules, and service requests.
  • Provide professional communication regarding shipment status, operational constraints, and scheduling updates.
  • Support customer service initiatives that promote operational excellence and tenant satisfaction.
  • Escalate complex issues requiring management intervention.

Inventory & Freight Tracking Support

  • Assist with verification of inbound and outbound shipment accuracy.
  • Support inventory movement tracking and documentation.
  • Monitor shipment discrepancies, shortages, and damaged freight.
  • Coordinate follow-up activities with warehouse and operations teams.
  • Assist with inventory audits, cycle counts, and reconciliation efforts as needed.

Operational Reporting & Administrative Support

  • Prepare routine operational reports and performance summaries.
  • Track metrics including dock utilization, appointment schedules, shipment volume, and service performance.
  • Maintain departmental logs and performance records.
  • Assist with data collection and dashboard reporting activities.
  • Support process improvement efforts through accurate reporting and documentation.

Safety & Compliance Support

  • Promote compliance with OSHA regulations, company safety policies, and established dock procedures.
  • Report safety concerns, equipment issues, or operational risks.
  • Assist with safety inspections, documentation reviews, and compliance initiatives.
  • Support adherence to cargo security and shipment control procedures.
  • Participate in safety meetings and operational training programs.

Facility & Equipment Coordination

  • Monitor dock equipment and operational infrastructure for functionality and serviceability.
  • Report maintenance issues involving dock doors, levelers, and related equipment.
  • Coordinate service requests through CMMS system.
  • Assist facilities and maintenance teams with work order follow-up and operational scheduling.
  • Support preventative maintenance coordination activities.

Qualifications

              Required

  • 2+ years of experience in transportation, logistics, shipping and receiving, warehouse operations, facilities operations, or related environments.
  • Experience coordinating multiple priorities in a fast-paced operational setting.
  • Strong customer service and communication skills.
  • Proficiency with Microsoft Office applications, including Excel and Outlook.
  • Ability to maintain accurate documentation and operational records.
  • Strong organizational skills and attention to detail.

Preferred

  • Associate degree in Logistics, Supply Chain, Business Administration, Operations, or a related field.
  • Experience using Warehouse Management Systems (WMS), Transportation Management Systems (TMS), ERP platforms, or CMMS software.
  • Experience supporting operations within commercial real estate, distribution, industrial, manufacturing, or logistics environments.
  • Knowledge of freight documentation and transportation processes.
