Human Resources Coordinator / Employee Experience Specialist

Position Purpose, Authority, and Accountability
Under the supervision of the Human Resources Director, the HR Coordinator/Employee Experience Specialist is responsible for supporting all HR functions, including, but not limited to hiring, onboarding, training, record keeping, supervising reception and creating a positive and engaging employee experience within the organization. All employees support the Candeo mission of inspiring our clients to achieve their personal goals.
Essential Job Functions:
Documentation Maintenance
- Responsible for the maintenance of all HR Documents, paper and electronic
- Assist with the maintenance of HR records in the HRIS
- Maintains and reviews personnel files for accuracy and accountability: I-9, MVR, Background checks, Auto Insurance, and Terminated Employees
- Assures confidentiality and safe storage and disposal of current and closed records within regulatory guidelines.
Hiring Process
1. Assist with recruiting activities
- Posting to social networking sites
- In collaboration with the recruiter, maintain the recruiting process, including serving as back up for recruiting
- Assist with recruiting activities like open interview days & job fairs etc.
2. Complete background checks for all Host Home providers and relief workers, as well as being a backup for new hire background checks. Update recruiting board accordingly.
3. Develop and manage employee onboarding programs to ensure a positive first impression and successful integration into the organization
- Create new hire files
- Conduct orientation for new employees
- Tracking training
- Build trainees into CDS
- Schedule orientations and non-traditional training for employees as well as Host Home providers and relief workers
- Responsible for maintaining KanBan board for training
- Responsible for tracking and communicating Candeo inservice training results and other training results as needed
- Responsible for tracking and registering employees and contractors for Medication Manager Certification
- Responsible for tracking and registering employees and contractors for C3 Deescalation Certification training
- Responsible for tracking Mandatory Reporter training for all employees and contractors, making sure that all employees are in compliance with state and federal requirements at all times
Human Resources
1. Responsible for tracking annual performance evaluations
- Send evaluation tracker, including upcoming evaluation due dates, to all managers and administrators monthly for the next two months
- Collect completed paperwork from managers and employees
- Appropriately document in HRIS
- Submit completed evaluations to HR Manager
2. Periodically review employees’ experience and engagement level by conducting exit interviews and stay interviews. Analyze employee feedback and measure engagement levels to identify areas of improvement
3. Collaborate with management and cross-functional teams to design and implement employee experience initiatives, programs, and events that improve employee satisfaction and retention
4. Stay up-to-date with industry trends and best practices related to employee engagement and experience
5. Employer branding on social media
6. Assist with benefits administration during open enrollment period
7. Assist with other administrative functions as requested
Office Management duties
1. Supervise reception and clerical assistant, including following up with them on assigned tasks (usually assigned by the CEO)
2. Assist in office events

Requirements
Education/Training/Licenser/Certification Requirements
- Associate's degree, preferred
- One year of experience in human resources, especially in creating employee experience is preferred.
- Experience with people with disabilities preferred.
- Valid Iowa Driver’s License
- Proof of Automobile Insurance
Skill or Proficiency Requirements:
- Excellent verbal and written communication skills
- Proficient in Microsoft or compatible software
- Strong attention to detail and organizational skills.
- Ability to work successfully, unsupervised
- Have a passion to create a safe and engaging environment
- Must have empathetic listening skills and problem-solving skills
- Must be free from conviction of prior child or dependent adult abuse, neglect or mistreatment
- Possess a motor vehicle that meets the required operational and maintenance guidelines, that are in accordance with the Iowa Department of Transportation motor vehicle safety standards and Candeo’s Motor Vehicle Guidelines.
