Your Impact
As the Team Assistant based in our North Sydney office, reporting to the Senior Executive Assistant to AirTrunk’s Founder and CEO, you will provide flexible, high-quality administrative and operational support across the Sydney business.
This is a varied and highly collaborative role, supporting the Senior Executive Assistant, the broader Executive Assistant team and various functions across the business. You will be a trusted shared resource, stepping in where needed to help teams stay organised, responsive and effective
- Providing day-to-day administrative support to the Senior Executive Assistant and broader EA team
- Supporting multiple teams across the Sydney office with a range of administrative and coordination activities
- Building strong relationships across the business and acting as a positive ambassador for AirTrunk
- Demonstrating flexibility, initiative and a willingness to assist wherever support is most needed

What You'll Do
- Provide calendar assistance across various calendars on behalf of the Senior Executive Assistant
- Coordinate meetings, including scheduling, room bookings and catering
- Assist with travel arrangements, itineraries and related travel requirements
- Process financial payments and expense within required timeframes
- Support the preparation and coordination of events and team activities
- Provide ad hoc administrative support to teams and leaders across the Sydney business
- Step in to provide Executive Assistant coverage when required
- Maintain a high level of confidentiality when managing sensitive business and executive information
- Proactively identify ways to improve processes, communication and the overall support experience
- Build trusted working relationships with the Executive Assistant team, leaders, internal and external stakeholders
- Work collaboratively with the Executive Assistant team to ensure priorities are managed effectively and consistently
What You'll Bring
- 4-5 years team/executive assistance/office support/administrative experience working in a corporate environment
- Completed your High School Certificate or equivalent
- Experienced in reviewing and formatting PPT presentations
- Ability to build strong relationships, manage multiple stakeholders and tasks
- Advanced skills in Microsoft Office suite, including Outlook, Word, Excel, PowerPoint
- Excellent written, verbal, and interpersonal communication skills
- Demonstrated ability to work with all levels of employees and management
- Ability to prioritise and meet deadlines with a high attention to detail and accuracy
- Ability to use initiative and strive for efficient and effective process improvements
- Ability to be flexible and adaptable in the face of changing organisational priorities and fast paced environment
