We are seeking an experienced, highly organized, and proactive Administrative Supervisor to oversee our administrative operations, front-office team, intake workflows, revenue-cycle processes, compliance monitoring, and operational reporting.
This role is ideal for someone who enjoys leading people, improving systems, solving operational challenges, and ensuring that both clients and staff receive exceptional support.
Position Summary
The Administrative Supervisor is responsible for the day-to-day management of administrative operations and revenue-cycle workflows. This position supervises administrative staff, oversees client access and intake processes, monitors billing and authorization workflows, maintains compliance standards, tracks departmental KPIs, and implements continuous process improvements.
The Administrative Supervisor serves as the primary operational leader for front-office functions and helps ensure that Confianza Health maintains excellent service, strong financial performance, and regulatory compliance.

Essential Responsibilities
Administrative Leadership & Staff Supervision
- Supervise, coach, and support Administrative Assistants.
- Assign daily workloads and maintain adequate staff coverage.
- Monitor task completion, productivity, and quality standards.
- Conduct training, onboarding, and cross-training activities.
- Support employee development and accountability initiatives.
Intake & Client Access Operations
- Oversee referral, intake, waitlist, and scheduling workflows.
- Monitor referral-to-admission timelines.
- Ensure prompt follow-up with prospective clients.
- Improve access to care and client onboarding processes.
- Identify barriers impacting intake conversion and client engagement.
Revenue Cycle Management
- Oversee insurance verification and eligibility processes.
- Monitor authorization requests, approvals, and expirations.
- Review claim submissions, rejections, denials, and appeals.
- Monitor ERA posting and accounts receivable workflows.
- Coordinate follow-up on unpaid claims and aging balances.
- Ensure accurate documentation to support billing compliance.
Compliance & Quality Assurance
- Conduct chart and workflow audits.
- Monitor adherence to HIPAA, payer, and regulatory requirements.
- Review operational incidents, grievances, and corrective actions.
- Identify operational risks and implement remediation plans.
- Maintain compliance-related trackers, reports, and documentation.
Reporting & Performance Management
- Track and report departmental KPIs.
- Analyze trends and identify operational improvement opportunities.
- Prepare weekly and monthly operational reports.
- Monitor claim performance, denial rates, intake metrics, and staff performance indicators.
- Present findings and recommendations to leadership.
Process Improvement
- Maintain SOPs, workflows, and operational documentation.
- Develop systems that improve efficiency and accountability.
- Create and maintain process trackers and dashboards.
- Lead continuous improvement initiatives across administrative operations.
Office Operations
- Manage office supplies, equipment, vendor relationships, and facility needs.
- Coordinate operational meetings and administrative events.
- Maintain organized records and filing systems.
- Ensure the office environment supports staff productivity and client experience.
Qualifications
Required
- High School Diploma or equivalent.
- Minimum 3 years of administrative leadership, office management, healthcare administration, or revenue-cycle experience.
- Experience supervising administrative staff.
- Strong organizational and project management skills.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft 365 and office technology.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong attention to detail and follow-through.
Preferred
- Associate's or Bachelor's degree in Business Administration, Healthcare Administration, Behavioral Health Administration, or related field.
- Experience in behavioral health, healthcare, or human services.
- Knowledge of insurance verification, prior authorizations, medical billing, and claims management.
- Experience working with electronic health records (EHRs).
- Familiarity with AHCCCS, Medicaid, Medicare, and commercial insurance workflows.
