Job Summary:

We are seeking an experienced and dynamic Tax Workflow Administrator to coordinate and manage the firm's income tax compliance workflow-from client onboarding through preparation, review, delivery, and filing. This individual will become an expert in the firm's tax workflow, systems, and deadlines. The position serves as the central point of coordination among tax professionals, administrative staff, and management to balance workloads, identify bottlenecks, and keep tax engagements moving efficiently. This is primarily a workflow-management and coordination position, not a tax preparation role. However, the successful candidate must develop a strong working knowledge of income tax compliance processes, deadlines, and the operational needs of the tax department.

Key Responsibilities:

  • Manage and monitor the firmwide tax return schedule from onboarding through filing.
  • Schedule newly onboarded clients and recurring tax engagements.
  • Coordinate preparation, review, delivery, extension, and filing deadlines.
  • Assign and balance work based on team capacity, experience, and engagement complexity.
  • Maintain accurate assignments, deadlines, priorities, and statuses in the workflow system.
  • Lead weekly tax scheduling meetings and track resulting action items.
  • Meet regularly with tax management to review capacity, priorities, and workflow concerns.
  • Identify stalled engagements and work with the appropriate team members to resolve bottlenecks.
  • Communicate scheduling changes, priorities, and deadline risks to the tax team.
  • Coordinate follow-up for missing client information, approvals, and electronic signatures.
  • Prepare workflow and capacity reports for tax management.
  • Promote consistent use of the firm's workflow procedures and systems.
  • Assist with tax-season planning and ongoing process improvements.

Qualifications:

  • Bachelor's degree in accounting, Finance, or related field required.
  • Accounting-firm or tax-department experience is preferred.
  • Experience in workflow coordination, project management, administration, or professional services is preferred.
  • Strong organizational, scheduling, and follow-up skills.
  • Ability to manage a high volume of engagements and competing deadlines.
  • Clear and professional written and verbal communication skills.
  • Strong attention to detail and commitment to maintaining accurate information.
  • Comfortable following up with team members and reinforcing deadlines.
  • Proficiency with workflow management systems, Microsoft Excel, Outlook, and similar business software.
  • Ability to handle confidential client and tax information appropriately.
