The Service Office Administrator serves as a key operational partner to the General Manager and Service Managers, providing administrative, billing, payroll, contract, reporting, and HR support. This role is critical to the efficiency of the service department and requires strong organization, customer service, financial administration, and system management skills.
Key Responsibilities
- Manage Syteline service requests (SROs), including setup, updates, labor transfers, warranty management, and closure.
- Maintain customer records and ensure accurate contact and payment information.
- Coordinate monthly billing processes and invoicing activities.
- Process customer payments, credits, invoices, and statements.
- Support Service Managers with reporting, purchasing, and invoicing details.
- Administer dockage and storage contract billing and tracking.
- Generate operational reports, including daily jobs-over-plan reports.
- Ensure timely labor and technician note entry.
- Train new employees on software and procedures.
- Assist with fuel dock administration and parts ordering/receiving as needed.
- Support local HR and payroll-related administrative functions.
Requirements
- 5+ years of related administrative, office management, service coordination, or business operations experience.
- Strong written and verbal communication skills.
- Experience with billing, invoicing, payroll, contracts, and reporting.
- Ability to perform basic mathematical calculations, percentages, ratios, and proportions.
