Job Description

Position Overview

Invenergy is seeking to hire a Senior Payroll & Tax Administrator. This role serves as a senior subject matter expert within the Payroll function and oversees the accurate and timely processing of complex, multi-state payroll operations for a growing workforce of 1,400+ exempt and non-exempt employees across the United States.

The Senior Payroll & Tax Administrator provides guidance and support to Payroll team members, drives process improvements, leads payroll-related projects, and serves as a key point of escalation for complex payroll matters.

This position is located at our corporate office in downtown Chicago, IL, and reports to the Senior Manager, Payroll.

Responsibilities

  • Lead the processing and review of biweekly, multi-state payroll for a growing workforce of 1,400+ exempt and non-exempt employees in the United States.

  • Serve as the primary escalation point for complex payroll issues, tax inquiries, off-cycle payments, and multi-state compliance matters.

  • Review and audit payroll transactions in Workday, including new hires, terminations, earnings, deductions, tax updates, retroactive adjustments, and benefit changes.

  • Perform comprehensive payroll audits to ensure payroll accuracy, data integrity, and compliance with company policies and regulatory requirements.

  • Partner with the Payroll Manager to establish payroll controls, identify process improvements, and implement best practices to enhance efficiency and scalability.

  • Lead payroll-related projects, including system enhancements, testing, process automation, acquisitions, and payroll integrations.

  • Coordinate and review monthly, quarterly, and year-end payroll activities, including W-2 processing, tax reconciliations, and regulatory reporting.

  • Reconcile payroll taxes, wage reporting, and general ledger payroll accounts; investigate and resolve discrepancies.

  • Develop, maintain, and document payroll procedures, internal controls, and compliance processes.

  • Monitor federal, state, and local payroll legislation and communicate impacts to payroll processes and business operations.

  • Mentor and provide day-to-day guidance to Payroll Administrators and Senior Payroll Administrators, assisting with training and knowledge sharing.

  • Collaborate closely with Human Resources, Accounting, Benefits, and external vendors to ensure seamless payroll operations.

  • Respond to employee and management payroll inquiries with a high level of professionalism and responsiveness.

  • Support internal and external audits by providing payroll documentation, analysis, and reconciliations.

  • Serve as backup to the Payroll Manager and assist with departmental planning and special projects as assigned.

Minimum Qualifications

  • Bachelor's degree

  • 5+ years of progressive payroll experience, including extensive experience processing complex multi-state payrolls.

  • Advanced knowledge of federal, state, and local payroll regulations, tax compliance, wage and hour laws, and payroll reporting requirements.

  • Experience with Workday Payroll.

  • Demonstrated expertise in payroll reconciliations, payroll tax filings, quarter-end and year-end processing.

  • Ability to identify risks, recommend solutions, and implement process improvements.

  • Strong analytical, problem-solving, and organizational skills.

  • Strong experience with Microsoft Excel, including pivot tables, lookups, and data analysis.

  • Exceptional attention to detail with a high degree of accuracy and confidentiality.

  • Proven ability to manage multiple priorities, meet deadlines, and operate effectively in a fast-paced environment.

  • Excellent communication and interpersonal skills with the ability to partner across all levels of the organization.

  • Eligible to work in the United States without the need for employer visa sponsorship now or in the future

Preferred Qualifications

  • CPP (Certified Payroll Professional) certification is a plus.

  • Bachelor's degree in Accounting or Finance.

  • Experience supporting payroll operations for employee populations exceeding 1,000 employees.

  • Experience with complex payroll jurisdictions, including California, New York, and Pennsylvania.

  • Experience leading payroll projects, system implementations, or process improvement initiatives.

  • Previous experience mentoring or providing functional leadership to payroll team members.

Base Pay

$95,000.00 - $115,000.00 USD Annual
Bonus: 20% - 30%

The base pay range reflects the minimum and maximum target salary for the position. Invenergy considers a number of factors when determining base pay offers such as the scope and responsibilities of the position and the candidate's experience, education and skills.
