Job Description

Provides travel and administrative support to frontline officers for advancement-related activities. Assists with the coordination of program events, Deans’ Advisory Council and Alumni Association meetings and other special projects. Works closely with other departments within Advancement including other Major Gifts teams, Gift Planning, Stewardship, Corporate & Foundation Relations, Alumni Relations, Advancement Communications, and other departments throughout the university. 

 

Responsibilities

  1. Supports the day-to-day operations and provides administrative aid for the unit as directed by the Managing Director. Arranges and coordinates meetings with team members and others as needed. Prepares monthly, or as needed, giving reports for dean and School-based director. Assists frontline officers with trip planning support including, but not limited to, running various lists and reports, preparing meeting materials, and assisting with travel arrangements. Ensures gifts are properly accounted and assists with donors’ stewardship. Maintains proper inventory levels of supplies and development collateral. Maintains and organizes all program hard copy and electronic files.
  2. Assists frontline officers with the coordination and implementation of events, including, but not limited to Deans/Directors Advisory Committee meetings, regional out-of-state events, and parent and campaign related activities. Attends external meetings and events as needed, serving as a resource to attendees, coordinates presentations and other event needs on-site. Communicates directly with constituents regarding event logistics, RSVPs, and other updates. 
  3. Processes trip expenses and reimbursements for team members. Manages the program budget, including tracking and reconciling budget reports. 
  4. Provides prospect management support services.  Assists officers to ensure pipeline reports and prospect management information is accurately documented in the CRM database. This includes entering officers’ activity reports and strategies, as well as constituents’ event attendance and volunteer activities.  

 


 

Qualifications

REQUIRED EDUCATION AND EXPERIENCE: 
1.    High School Diploma and 3-years related/transferable experience; or Bachelor’s Degree
2.    Any appropriate combination of relevant education, experience, and/or certifications may be considered.

REQUIRED KNOWLEDGE, SKILLS, ABILITIES/COMPETENCIES   TYPICALLY   NEEDED   TO   PERFORM   THIS   JOB
SUCCESSFULLY: 
1.    Strong oral, written, and interpersonal skills are required.
2.    Excellent organizational skills, including the ability to manage multiple demands and multiple projects under tight deadlines.
3.    Proficient in MS Office applications (Word, PowerPoint, Excel, Access)
4.    Demonstrated ability to pay attention to detail and keep projects on task meeting and exceeding timeline expectations.
5.    Ability to occasionally work nights and weekends.
PREFERRED QUALIFICATIONS: 
1.    Some college 
2.    Knowledge of university fundraising.
3.    Experience with navigating and utilizing CRM databases such as Salesforce.
