Role Overview
The Tenant Relations Associate is responsible for supporting leasing activities, maintaining positive tenant relationships, and coordinating day-to-day property operations. The role ensures smooth communication among tenants, internal teams, and service providers while supporting occupancy, collections, maintenance, and overall tenant satisfaction.
Qualifications
- Bachelor's degree in Business Administration, Hospitality Management, Property Management, Real Estate Management, Communications, or a related field.
- At least 1 year of experience in tenant relations, property management, hospitality, leasing, or a related field.
- With relevant work experience within the real-estate, property management, or related industry.
- Excellent verbal and written communication and strong interpersonal skills.
- Strong customer service, coordination, and conflict resolution abilities.
- Highly organized with strong attention to detail, time management, and follow-through.
- Proficient in Microsoft Office applications; experience with property management or CRM systems is an advantage.
- Ability to manage multiple tenant concerns and operational requirements while maintaining professionalism and confidentiality.
- Willingness to work flexible hours, including weekends and holidays, when required by business operations.
Key Responsibilities
- Serve as the primary point of contact for tenants and coordinate with internal teams, including property management, finance, maintenance, and other service providers, to address tenant needs and concerns.
- Coordinate unit readiness, move-in and move-out requirements, service requests, and other tenant-related activities.
- Prepare, review, and process lease agreements and ensure completeness and accuracy of all leasing documentation.
- Explain lease terms, property policies, payment structures, and other relevant requirements clearly to tenants.
- Conduct and assist with property viewings, present property features and amenities, and address prospective tenants' inquiries to support leasing decisions.
- Manage day-to-day tenant relations and ensure a positive tenant experience through timely and professional resolution of concerns and requests.
- Prepare and send rental billing statements, payment reminders, and delinquency notices; assist in rent collection and coordinate with Finance for payment monitoring.
- Coordinate utility service suspension and reinstatement for overdue accounts in accordance with established policies.
- Schedule and monitor pest control, preventive maintenance, repairs, replacements, and other property upkeep activities, particularly for long-term occupied units.
- Coordinate with maintenance personnel, contractors, and operations teams to ensure timely resolution of unit and facility-related concerns.
- Prepare regular reports covering leasing inquiries, occupancy, tenant concerns, maintenance activities, and collection status.
- Maintain accurate and organized records of lease agreements, tenant communications, transactions, and other property-related documentation.
- Perform other administrative and operational tasks as assigned.
