Job Title: PM - Planning and Documentation - Interior Fit-out Projects

Experience: 7-8 years


Job Summary: We are seeking a detail-oriented and organized Planning and Documentation Engineer to support our interior fit-out projects. The ideal candidate will be responsible for developing and maintaining project schedules, creating and managing project documentation, and ensuring effective communication of project information across all stakeholders.

Key Responsibilities:

  • Develop, update, and maintain detailed project schedules using specialized software (e.g., Primavera P6, MS Project) for interior fit-out projects.
  • Create and manage project documentation systems, ensuring all documents are properly organized, version-controlled, and easily accessible to relevant team members.
  • Coordinate with Senior project managers, site engineers, and other team members to gather and consolidate project information.
  • Prepare and distribute regular project status reports, highlighting progress, milestones, and potential issues.
  • Assist in the development of project execution plans, including work breakdown structures and resource allocation plans.
  • Monitor project progress against the baseline schedule, identifying and reporting on potential delays or conflicts.
  • Manage the RFI (Request for Information) process, ensuring timely responses and proper documentation.
  • Oversee the submittal process, tracking approvals and maintaining an up-to-date log.
  • Assist in change order management, documenting changes and their impact on project timelines and budgets.
  • Prepare meeting minutes and action item lists for project meetings.
  • Develop and maintain project dashboards and KPI reports for management review.
  • Collaborate with the quality control team to ensure proper documentation of quality assurance processes.
  • Support the closeout process by compiling and organizing all necessary project documentation.

Qualifications:

  • Bachelor's degree in Engineering, Construction Management, or related field.
  • 7-8 years of experience in planning and documentation for construction or interior fit-out projects.
  • Proficiency in project management and scheduling software (e.g., Primavera P6, MS Project).
  • Strong knowledge of construction documentation processes and best practices.
  • Excellent organizational skills with attention to detail.
  • Proficient in Microsoft Office Suite, especially Excel and PowerPoint.
  • Strong analytical and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Ability to read and interpret technical drawings and specifications.
  • Experience with document control systems and processes.

Desired Skills:

  • Familiarity with Building Information Modeling (BIM) and its applications in project planning.
  • Knowledge of lean construction principles and their application to project scheduling.
  • Experience with cloud-based project management and collaboration tools.
  • Understanding of risk management and its integration into project planning.
  • Familiarity with Earned Value Management (EVM) techniques.
  • Knowledge of local building codes and regulations relevant to interior fitouts.
  • Experience with data visualization tools for creating project dashboards.
  • Understanding of LEED or other sustainable building certification documentation requirements.

This role requires a methodical and detail-oriented individual who can effectively manage the planning and documentation aspects of complex interior fitout projects. The ideal candidate will have strong technical skills combined with excellent communication abilities to liaise with various project stakeholders. They should be able to work independently, manage multiple projects simultaneously, and adapt to changing project needs. A proactive approach to identifying and resolving potential issues through effective planning and documentation is essential for success in this position.
