We value individual differences and are dedicated to maintaining an inclusive work environment where everyone can bring the best of their experience and talents and truly thrive.

L.L.Bean is looking for a Retail Facilities Specialist to join our Facilities team at our Freeport, Maine Headquarters.

In this highly collaborative role, you’ll help support the facilities behind our retail operations by coordinating maintenance, managing service requests, partnering with vendors and contractors, monitoring operational performance, and supporting projects, budgets, and systems.

This is an exciting opportunity for someone who enjoys solving problems, building strong partnerships, staying organized, and keeping operations moving forward. You’ll work closely with teams across Retail Operations, Retail Design, Real Estate, Construction, and Facilities, giving you the opportunity to make a meaningful impact across our retail store network.

Position Purpose

The Retail Facilities Specialist is responsible for helping plan, coordinate, and support the work necessary to properly maintain retail facilities, equipment, and grounds. This role helps oversee facilities operations contractors performing preventative maintenance, project work, service requests, and equipment or building repairs. You’ll also monitor operational trends and performance measures, support facilities projects, and provide administrative, and systems support for store communications and operations.

Facilities & Maintenance Coordination

  • Coordinate maintenance activities across retail facilities, including preventative maintenance, service requests, equipment breakdowns, and project work.
  • Manage and process service requests in a timely manner while coordinating follow-up with stores, contractors, and internal partners.
  • Maintain knowledge of facility ownership, leases, tenant and owner responsibilities, contracts, warranties, and applicable regulations.
  • Maintain working knowledge of real estate lease agreements as they relate to facilities operations.
  • Manage the work order system as a key tool for communicating work, measuring contractor performance, tracking equipment uptime, and monitoring purchasing activity.

Vendor & Contractor Management

  • Support the selection, onboarding, management, and termination of outsourced maintenance contractors.
  • Assist with contract negotiations with key maintenance partners.
  • Help expand and strengthen the network of qualified contractors to improve service, coverage, and overall operational support.
  • Build and maintain strong working relationships with maintenance partners and service providers.
  • Partner with Store Managers and Operations Leaders to develop and manage service-level expectations.

Financial, Reporting & Operational Support

  • Manage, review, and process facilities-related invoices and purchase orders.
  • Support budget analysis, project planning, vendor setup, and document tracking.
  • Assist with annual maintenance budget planning and coordination across operational departments.
  • Track, analyze, and help improve key maintenance measures, including asset utilization, maintenance costs, schedule compliance, and equipment uptime.
  • Prepare reports, analyze operational data, and make recommendations to improve processes and resolve maintenance-related challenges.
  • Maintain awareness of expenses, cost controls, budgets, and financial reporting.

Projects & Cross-Functional Partnership

  • Partner with Retail Design, Real Estate, Construction, Retail Operations, and Facilities on store-related initiatives.
  • Coordinate and support departmental priorities, including seasonal projects, special events, and meetings.
  • Maintain current operating manuals and update content as needed.
  • Provide backup support for department team members during travel or time away.

  • Education: Associate degree; college or technical experience preferred.
  • Experience: 3+ years of relevant experience.
  • Knowledge of ServiceChannel or a similar CMMS system preferred.
  • Strong understanding of facilities maintenance practices, methodologies, and construction processes.
  • Excellent understanding of retail operations and familiarity with business objectives.
  • Strong written and verbal communication skills; technical writing experience is a plus.
  • Strong organizational skills with excellent attention to detail.
  • Ability to work independently while also contributing effectively as part of a team.
  • Ability to establish timelines, manage schedules, and prioritize multiple responsibilities effectively.
  • Knowledge of expense management, cost controls, and budgeting.
  • Strong analytical and problem-solving skills with a curiosity for improving processes.
  • Sound business judgment and a general understanding of financial reporting and P&L.
  • A proactive, self-motivated approach with a strong sense of urgency.
  • Proficiency in Microsoft Office and strong general PC skills.
  • Recent retail store experience and facilities/building knowledge at a lead level or above is desired.

Health & Safety

Every employee is responsible for contributing to a safe and healthy workplace. Employees are expected to actively participate in health and safety by following established policies and procedures, reporting unsafe conditions or at-risk behaviors to leadership, and performing their work in a safe manner.

Employees in leadership roles are also expected to model safe behaviors, evaluate potential risks, and help ensure those risks are reduced to acceptable levels.

If you’re a proactive problem-solver who enjoys balancing projects, people, systems, and facilities operations, this could be a great opportunity to bring your experience to L.L.Bean.

Bring your facilities expertise, organizational skills, and can-do approach to a role where your work helps keep our retail operations running at their best.

L.L.Bean uses a market-based compensation approach. The anticipated starting base pay for this position is $65,800-$82,200. Individual compensation may vary based on factors such as a candidate’s experience, qualifications, education, geographic location, skills, competencies, and proficiency for the role.

If you care about the outdoors, joining L.L.Bean is a great way to feel good about what you do. Our benefits package makes a good thing even better, with programs and perks designed to support your health and financial goals. Plus, maintaining a healthy work-life balance and re-charging outside are all part of the plan.

If your experience looks a little different from what we've identified and you think you'd be great at this role, we'd love to learn more about you!   At L.L.Bean, we believe the outdoors brings out the best in all of us.  We strive to reflect this every day in our commitments to employees and partners and in our efforts to promote belonging.
