The Job/What You’ll Do:
The Transfer Specialist plays a critical role in ensuring the accurate, efficient, and timely execution of transfer operations at AssetMark Trust Company. This role combines technical expertise, process mastery, and collaborative problem-solving to support incoming and outgoing transfers while maintaining the accuracy and integrity of related operational data, including cost basis information when applicable.
Specialists execute complex transfer workflows, resolve items not in good order (NIGO), research operational discrepancies, and partner with financial advisors, contra firms, and internal teams to ensure assets and supporting information are transferred accurately and efficiently.
Depending on business needs, Specialists may develop expertise across transfers in, transfers out, cost basis review, reconciliation, and other operational functions to provide operational flexibility and support continuous improvement initiatives. Success in this role requires strong analytical skills, attention to detail, sound judgment, and the ability to manage multiple priorities while delivering exceptional client service.
Specialists have a clear path for advancement to II, III, and Senior levels through expanded technical expertise, cross-functional proficiency, process ownership, and consistently exceeding performance expectations.
We can consider candidates for this position who are able to accommodate a hybrid work schedule and are close to our Phoenix, AZ office.
Responsibilities:
- Review and process transfer paperwork accurately and efficiently.
- Execute core transfer work types for incoming and outgoing transfers with precision.
- Track transfer activity, identify issues, and resolve items not in good order (NIGO) in a timely manner.
- Review and validate operational data, including cost basis information when applicable, to ensure accuracy and completeness.
- Research and resolve transfer and operational discrepancies through analysis and collaboration with internal and external business partners.
- Conduct outreach to financial advisors and contra firms to obtain missing transfer or cost basis information, explain requirements, and drive timely resolution of outstanding items.
- Maintain accurate books and records through daily audits and quality reviews.
- Collaborate with internal teams and transfer agents to improve operational efficiency, scalability, and service quality.
- Update and maintain procedures and documentation to support process consistency.
- Identify opportunities for process improvement and contribute to continuous improvement initiatives.
Knowledge, Skills, Abilities:
- Knowledge of ACAT, Non-ACAT, DTC, and related transfer processes.
- Understanding of brokerage operations and securities transfers.
- Familiarity with cost basis concepts, tax lots, and reconciliation processes.
- Strong analytical and problem-solving skills with the ability to research and resolve complex operational issues.
- Excellent attention to detail and commitment to maintaining accurate books and records.
- Strong written and verbal communication skills with the ability to confidently explain transfer and cost basis requirements to financial advisors and business partners.
- Ability to build effective working relationships with advisors, contra firms, and internal stakeholders.
- Ability to prioritize workload, manage multiple workstreams, and maintain productivity in a fast-paced environment.
- Strong organizational skills with the ability to quickly learn multiple business systems.
- Demonstrated commitment to continuous improvement and operational excellence.
- Familiarity with CBRS, Maxit, or similar brokerage operations systems preferred.
Education & Experience:
- Minimum of 1 years of industry experience (Required)
- Bachelor’s Degree or equivalent work experience (Required)
- Experience in brokerage and banking (Preferred)
Compensation: The Base Salary range for this position is within the following ranges:
Early Career $57,500-$67,500
Mid to Experienced $63,000-$75,000
This information reflects a base salary range that AssetMark reasonably expects to pay for the position based on a number of factors which may include job-related knowledge, skills, education, experience, and actual work location. This position will also be eligible for additional variable incentive compensation and competitive benefits.
