Description

We are looking for a reliable and well-organized Administrative Manager to support the day-to-day administration and corporate operations of our Hong Kong office.

The role focuses on coordinating corporate administration, maintaining relationships with banks and external service providers, supporting regulatory compliance, and ensuring smooth office operations. This position is ideal for someone with strong knowledge of the Hong Kong business environment who can independently coordinate local administrative matters while working closely with the CEO and external advisors.

Key Responsibilities
Corporate Administration
  • Coordinate company secretarial matters with external corporate service providers.
  • Maintain corporate records, company documentation and statutory files.
  • Assist with statutory filings and administrative compliance requirements.
  • Support the preparation of board resolutions and corporate documents.
  • Coordinate communication with government authorities when required.
Banking & Financial Administration
  • Act as the main contact for Hong Kong banking institutions.
  • Coordinate corporate bank account administration and banking documentation.
  • Support KYC reviews, account updates and compliance requests.
  • Assist with payment administration and banking processes.
  • Coordinate financing documentation when required.
Accounting & Compliance Support
  • Coordinate with external accountants and bookkeeping providers.
  • Collect and organize financial documentation.
  • Support annual audits and tax filing processes.
  • Monitor deadlines for accounting and compliance submissions.
  • Prepare administrative reports for management.
External Advisor Coordination
  • Coordinate communication with legal counsel, auditors, tax advisors and corporate service providers.
  • Track ongoing projects and ensure timely completion of action items.
  • Organize documentation requested by external advisors.
  • Support implementation of recommendations from professional advisors.
Office & Operational Administration
  • Maintain organized document management and filing systems.
  • Coordinate contracts, internal records and administrative workflows.
  • Manage office suppliers and service providers.
  • Support implementation of internal administrative procedures.
  • Ensure confidentiality and proper handling of company information.
Candidate Profile
  • 3–7+ years of experience in corporate administration, office management, business operations or administrative support in Hong Kong.
  • Experience working with Hong Kong banks and corporate service providers.
  • Good understanding of Hong Kong corporate administration and local business practices.
  • Experience coordinating external accountants, company secretaries or legal advisors is an advantage.
  • Excellent organizational and communication skills.
  • High level of responsibility, discretion and attention to detail.
  • Ability to work independently and manage multiple priorities.
Languages
  • Native or professional fluency in Cantonese is required.
  • Professional working proficiency in English is required.
  • Mandarin is an advantage.
Working Arrangement
  • Flexible working schedule.
  • Part-time position with either daily reduced hours or approximately 3 working days per week.
  • Suitable for candidates who wish to combine this role with another professional position.
  • Hybrid working arrangement may be considered depending on the candidate and business needs.
