About This Opportunity

We are seeking an experienced Executive Assistant to support the Academic Registrar within UQ's Academic Services Division. As a trusted partner to a senior university leader, you will play a key role in supporting key priorities and ensuring the smooth operation of a busy executive office.

Working with a high level of autonomy, you'll manage competing priorities, build strong stakeholder relationships, and help drive important outcomes across the University. This is an excellent opportunity for a proactive and highly organised professional who enjoys taking ownership, solving problems and making a meaningful contribution in a fast-paced environment.

Key responsibilities will include:

  • Managing the Academic Registrar's diary, day-to-day priorities, inbox and correspondence.

  • Acting as a key point of contact, triaging enquiries and ensuring matters are directed and resolved efficiently.

  • Coordinating meetings, briefings and supporting documentation to keep activities running smoothly.

  • Building and maintaining effective relationships with stakeholders across the University and external organisations.

  • Assisting with travel, expense management and records administration to support the efficient operation of the office.

About You

We are looking for an experienced Executive Assistant who thrives in a busy senior office environment. You will be confident supporting a senior staff member, managing competing priorities, exercising sound judgement and discretion, and building strong relationships with a diverse range of stakeholders while keeping operations running smoothly.

You will also bring:

  • Relevant qualifications and/or equivalent experience in an executive support, administration or similar role. We value a combination of education, training and practical experience.

  • Demonstrated administrative and customer service skills, including experience providing high-level executive assistance to senior staff in a large and busy workplace environment.

  • Proven ability to coordinate and manage complex, diverse and competing commitments for a senior leader using an electronic diary system.

  • Highly developed written and verbal communication skills, including the ability to consult and negotiate effectively with diverse internal and external stakeholders.

  • Strong organisational, time management and prioritisation skills, with the ability to manage competing work demands and meet deadlines.

  • Excellent attention to detail, sound judgement and the ability to handle confidential and sensitive information with professionalism.
