Job Summary
Reporting to the Registrar, the Associate Registrar provides business analysis and develops data reports for the Office of the Registrar. This position also manages student enrollment and degree verification reporting to the National Student Clearinghouse, ensuring compliance with regulatory reporting requirements. Additional responsibilities include overseeing the transcript Evaluation process, and supporting the maintenance of the degree audit system and academic plans for each academic year.
Key Outcomes
50% of Time: Develop and maintain reports that support the operations of the Office of the Registrar.
● Gather, document, and analyze business needs and reporting requirements for the Office of the Registrar, developing new reports to support the day-to-day operations of the office.
● Develop, maintain, and optimize reports using Workday Student reporting tools to support academic and administrative departments, as well as third-party requests and federal and state regulatory requirements.
● Collaborate with academic and administrative offices to identify reporting needs, define requirements, and develop solutions that provide accurate and actionable information.
● Work proactively with internal and external stakeholders to revise and deliver accurate, user-friendly institutional reports that meet operational and regulatory needs.
● Interpret and evaluate historical data to ensure operation-critical reports are current, accurate, consistent, and available when needed.
● Perform data validation and quality checks to identify discrepancies, investigate data issues, and ensure the accuracy and integrity of information used for reporting and decision-making.
● Analyze existing reports and reporting processes to identify opportunities for increased efficiency, automation, and improved data quality.
● Maintain documentation for reports, including business requirements, data sources, report logic, definitions, and standard procedures to support consistency and knowledge transfer.
● Serve as a subject matter resource for Registrar's Office reporting and assist faculty and staff in understanding and appropriately using Registrar-related data and reports.
● Collaborate with Information Technology and other campus partners to troubleshoot reporting issues, identify system limitations, and develop solutions to meet business requirements.
● Monitor changes to Workday Student functionality and institutional reporting requirements and assess their potential impact on existing reports and Registrar's Office operations.
● Provide ad hoc data analysis and reporting to support operational needs, institutional initiatives, audits, and decision-making.
30% of Time: Generate enrollment files for submission to the National Clearinghouse (NSC).
● Understand NSC/NSLDS regulatory and reporting requirements.
● Responsible for submitting enrollment and graduate files on a regular schedule throughout the academic year.
● Analyze and communicate with auditors and Registrar to quickly resolve errors that may arise during end-of-term processing.
● Archive and track submitted reports as required by federal and state regulations.
20 % of Time: Maintain complete and accurate documentation of technical processes used in or relevant to the Office of the Registrar.
● Collaborate with the team to develop and maintain standard operating procedure documentation (SOPs) to ensure best practices are documented accurately on time.
● Provide first-level customer support and troubleshoot system issues related to reporting practices.
● Serve as liaison between the Office of the Registrar and Information Technology.
● Support the Provost’s Office on special projects, including but not limited to preparing timely reports for Academic Review, communicating with the necessary parties in advance, holding the Academic Review sessions over the course of the academic year, sending official letters to students, and following up on particular student cases with deans.

Education & Experience
● Bachelor’s degree in Management Information Systems or related field or equivalent experience.
● Minimum of five years of experience in business analysis or a related field. Knowledge of higher education institutional data is preferred.
● Minimum of three years of experience with Workday Student reporting or higher education student information systems (SIS), with experience working in a Registrar’s Office or similar academic administrative environment preferred.

In compliance with Massachusetts pay transparency law, the annual base salary range for this position is $72,500–$85,000. Endicott College considers factors such as (but not limited to) the scope and responsibilities of the position, relevant work experience, education, specialized skills, internal equity, and external market data when extending an offer. The final salary is determined by the Human Resources Office based on these factors. This range reflects base salary only and does not include benefits or other compensation.
