Staffstream is recruiting for a part-time Bookkeeper role (20 hours per week) with an Australian design and fabrication business specializing in sails, shade structures, upholstery, and marine trimming. The business designs, procures, creates, and installs custom products for residential and marine clients.
The role operates within a deliberate two-person finance workflow: you'd prepare, compile, and organize all banking, payroll, and superannuation information in Xero, while the business's Australian-based administrator completes final uploads and processing through CBA and CommBiz. This structure keeps final banking authority in Australia while letting the bookkeeping preparation work run efficiently offshore, so you'll need to be genuinely comfortable producing clean, accurate, ready-to-action files, rather than having end-to-end banking access yourself. This role is open to candidates based in the Philippines.
What you will actually do
Xero administration and reconciliations
- Maintain accurate, up-to-date records within Xero, balancing transactions, reconciling bank accounts, and ensuring income, expenses, and supplier invoices are correctly coded and current at all times.
- Reconcile purchase transactions against supplier invoices and statements, identifying and resolving discrepancies promptly and maintaining clean, audit-ready creditor records.
- Perform balance sheet account reconciliations as required, making sure every account is accurate, properly supported, and ready for review by the business owner or external accountant.
Accounts receivable and debtor management
- Manage the accounts receivable function, raising and allocating customer invoices within Xero, reconciling receipts against outstanding balances, and maintaining accurate, current debtor records across all active jobs.
- Proactively chase outstanding debtor balances, issuing statements, following up overdue accounts by email and phone, and escalating unresolved collections to the business owner where required.
- Prepare debtor ageing reports and provide regular, clear updates on outstanding receivables, flagging accounts of concern and recommending next steps for collection.
Accounts payable and supplier payments
- Process and manage accounts payable within Xero, entering supplier invoices accurately, ensuring correct coding and approval, and maintaining organized, current creditor records across all active suppliers.
- Prepare supplier payment information for review and approval, compiling payment batches, reconciling supplier statements, and making sure payment preparation is complete and accurate before handover for upload and processing through CBA and CommBiz.
- Resolve invoice discrepancies with suppliers promptly, communicating professionally and maintaining the business's supplier relationships through reliable, accurate payment administration.
Payroll and superannuation preparation
- Prepare wage upload files and payroll information for each pay cycle, collating employee hours, leave, and deductions accurately and organising the information into a clear, ready-to-upload format.
- Process weekly superannuation calculations, preparing super contribution information accurately in line with the Superannuation Guarantee obligations applicable to each employee, and submitting the compiled data to the Australian administrator for final lodgement.
Banking coordination and general administration
- Prepare and organize banking information for CBA and CommBiz processing, including payment batches, fund transfers, and any other banking documentation required to complete uploads and authorize transactions in Australia.
- Support GST and BAS preparation, making sure Xero records are accurate, GST coding is correctly applied, and the information required for BAS lodgement is well-organized and accessible ahead of each lodgement cycle.
- Provide general Xero administration and financial support as required, including ad hoc reporting, account maintenance, and other bookkeeping tasks that fit within the 20-hour-per-week scope.
What you need to bring
- Demonstrated bookkeeping experience with a strong working knowledge of Xero, including bank reconciliations, accounts payable, accounts receivable, and payroll administration within an Australian business context.
- A solid understanding of Australian GST, PAYG, and Superannuation Guarantee requirements, with the ability to apply these accurately within Xero and in compliance-related preparation work.
- Demonstrated experience preparing payroll and superannuation information to a standard that allows a trusted administrator or payroll processor to complete final lodgement confidently, without needing to re-check your underlying data.
- Proven accounts receivable and debtor management skills, including chasing outstanding balances professionally, preparing ageing reports, and maintaining clear, current debtor records.
- Familiarity with CBA banking processes or CommBiz, with an understanding of how payment batches and banking information are structured for upload and approval through an Australian banking platform.
- Highly organized with strong attention to detail, producing clean, accurate preparation files that the Australian administrator can act on with confidence, without needing to verify your underlying data.
Nice to have
- Background in marine, fabrication, trades, or a project-based business environment, with familiarity in how project income, supplier payments, and cash flow management work across custom design-and-install work for residential and marine clients.
- Experience working within a split-processing model, where preparation is completed offshore and final upload or lodgement is completed by an Australian-based authorized person, and genuine comfort with the handover discipline this requires.
