  • Review aging reports, collection queues, and pending cases to identify accounts requiring immediate attention and prioritize team activities accordingly.
  • Coordinate with Cash Application, Accounting, and other internal teams to resolve payment discrepancies, unapplied cash, and reconciliation issues affecting collections.
  • Provide operational support and handle complex customer accounts or escalations when required.

Process Improvement & Operational Efficiency:

  • Ensure adherence to established standard operating procedures (SOPs), internal controls, and company policies across Billing and Collections activities.
  • Identify process gaps, recurring issues, and manual activities that impact productivity, accuracy, or cash recovery.
  • Recommend and support process improvements, standardization, and automation initiatives to increase operational efficiency.

  • Track individual and team performance against established productivity standards and operational targets.
  • Prepare weekly performance updates and monthly scorecards, highlighting results, operational gaps, risks, and corrective actions.
  • Analyze current and historical performance data to identify trends, workload imbalances, and opportunities to improve team effectiveness.
  • Provide management with accurate reporting on collections progress, billing backlogs, unresolved escalations, and operational performance.

Risk Management & Compliance:

  • Ensure Billing and Collections activities comply with internal policies, financial controls, and applicable regulatory requirements.
  • Identify high-risk accounts, unresolved disputes, overdue balances, and operational issues that may impact cash flow or customer relationships.
  • Escalate significant financial discrepancies, compliance concerns, and operational risks to management in a timely manner.
  • Maintain accurate documentation of collection activities, billing adjustments, customer interactions, and account resolutions.

Customer & Stakeholder Management:

  • Collaborate with Sales, Account Management, Finance, Accounting, Cash Application, and other internal departments to resolve issues affecting billing accuracy and collections performance.
  • Ensure customer interactions are conducted professionally while maintaining a strong focus on payment recovery and customer satisfaction.
  • Support effective communication between operational teams and internal stakeholders to accelerate issue resolution and minimize delays in collections.
