Job Description:
The Travel Management Specialist is responsible for overseeing the end‑to‑end process of managing travel requests within the program. This role receives, organizes, and validates travel submissions, ensures all required documentation is complete, and routes requests for client approval. The specialist tracks approval status, follows up on outstanding items, and communicates updates to stakeholders. Success in this role requires exceptional organization, attention to detail, and the ability to manage multiple concurrent requests while maintaining compliance with company and client policies.
The Work:
- Receive, review, and organize incoming travel requests from project personnel.
- Ensure all required documentation is complete, accurate, and compliant with program standards.
- Submit travel requests to the client for approval and track their status through completion.
- Follow up on pending approvals and communicate updates to relevant stakeholders.
- Maintain organized records of travel submissions, approvals, and supporting documents.
- Coordinate multiple travel requests simultaneously while ensuring timely processing.
- Support process documentation and maintain up‑to‑date procedures for travel workflows.
- Handle sensitive and confidential information in accordance with program and client requirements.
- Provide excellent customer service to team members, stakeholders, and client representatives.
Here's what you need:
- 2+ years experience in administration, process documentation or project management support
- Experience with:
- Managing, tracking, and processing travel requests
- Submitting structured requests through formal approval workflows
- Supporting PMO operations, administrative workflows, or travel coordination.
Bonus points if you have:
- Familiarity with structured approval processes, documentation standards, or government project environments.
- Experience managing confidential or sensitive information.
Security Clearance:
- Must be a US citizen (No Dual Citizenship)
- Must possess an active Secret clearance
