Flatt Veterinary Clinic is looking for a friendly, dependable, and compassionate Part-Time Client Service Representative (CSR) to join our team in Cookeville, Tennessee!
Our Client Service Representatives are often the first and last person a client interacts with during their visit, making this role an important part of creating a positive experience for both pets and their families. We're looking for someone who enjoys helping people, loves animals, communicates well, and can stay organized in a busy veterinary clinic.
If you're an experienced veterinary receptionist, client service representative, medical receptionist, or simply someone with excellent people skills who would love to work in veterinary medicine, we'd love to hear from you!
This is a part-time position with a consistent weekday and Saturday schedule.
- Work two full weekdays per week
- Work a minimum of two Saturdays per month
- Every Saturday from May through September is required
- Additional hours may be available and are required periodically to provide coverage for employee vacations, illness, or other staffing needs
- Seasonal flexibility and willingness to pick up additional shifts is strongly preferred
This position is ideal for someone who wants a regular part-time schedule but is also dependable and flexible when additional coverage is needed.
What You'll Do
As a Client Service Representative, you'll help keep the front desk and client experience running smoothly. Responsibilities may include:
- Welcome clients and their pets with a warm, friendly, and professional attitude.
- Provide exceptional customer service in person and over the phone.
- Answer incoming calls, respond to client questions, and direct calls to the appropriate team member.
- Schedule, confirm, reschedule, and cancel veterinary appointments.
- Check clients and patients in and out of the clinic accurately and efficiently.
- Collect payments and accurately process cash, credit card, and other forms of payment.
- Explain invoices, payment options, and available services to clients.
- Maintain accurate client and patient information in the veterinary practice management system.
- Prepare and maintain medical records and other necessary documentation.
- Communicate effectively with veterinarians, veterinary technicians, assistants, and other members of the hospital team.
- Help coordinate client flow and minimize wait times.
- Keep the reception area clean, organized, and welcoming.
- Communicate updates to clients and help address concerns professionally.
- Maintain confidentiality and handle sensitive client and patient information appropriately.
- Provide compassionate support to clients during difficult or emotional situations.
- Assist with general administrative and front-desk duties as needed.
- Work as part of a collaborative veterinary team to provide an exceptional client and patient experience.

Previous experience in one or more of the following is a plus:
- Veterinary hospital or animal clinic
- Veterinary receptionist or client service
- Medical or dental office
- Healthcare customer service
- Hospitality or retail customer service
- Appointment scheduling or front-desk administration
Veterinary experience is preferred but not required for the right candidate. We value a positive attitude, strong work ethic, compassion, and a commitment to excellent client service.
