About the Program
The HKUST Business School’s Doctor of Business Administration (DBA) Program is a premier, high-touch doctoral program designed for senior executives. Launched in Fall 2021, the program has established itself as a leading international doctoral program. We are seeking a highly proactive, organized, and communicatively adept individual to join our dynamic team as an Officer / Assistant Officer.
Key Responsibilities
Reporting to the Program Manager, the appointee will play a vital role in ensuring seamless operations and executive-level service delivery. Duties include:
- Executive Module Logistics: Coordinate with internal and external stakeholders, including students, faculty, and vendors, to deliver premium administrative and logistical support for academic modules and program residency weekends.
- Proactive Program Operations: Serve as the operational backbone of the program by managing critical logistics, including classroom booking, student accommodation and catering, timely payments, student visa processes, smooth feedback loops between students and faculty, and academic record-keeping.
- Administrative & Office Support: Support daily DBA program office operations, handle administrative tasks, and manage ad-hoc projects to support program growth.
- Admissions & Outreach Support: Provide occasional assistance with marketing initiatives, information sessions, and student recruitment or admissions activities.
Requirements
Applicants must demonstrate a strong sense of ownership, professional courtesy, and the drive to work in a growing start-up environment:
- Education: A bachelor’s degree, preferably in Business, Hospitality, Communications, or related disciplines.
- Experience: A minimum of 2–3 years of relevant professional experience in executive education, premium hospitality, event management, or high-touch administrative roles. Exceptional candidates with alternative backgrounds will be considered on a case-by-case basis.
- Communication Skills: Outstanding written and spoken English and Chinese (Cantonese and Mandarin). Excellent interpersonal and proactive communication skills are non-negotiable.
- Core Competencies: A high sense of responsibility, meticulous attention to detail, strong multitasking abilities, and a solution-oriented mindset.
- Technical Proficiency: Competence in standard office software. Experience with learning management systems (e.g., Canvas) is a strong advantage.
- Flexibility: A strong team player who is willing and flexible to work evenings and weekends during scheduled executive modules.
Terms of Appointment
- Duration: 2-year contract, renewable subject to performance and mutual agreement.
- Final job title (Officer or Assistant Officer) and compensation will be commensurate with the candidate's actual qualifications and depth of experience.
- Compensation: Salary will be highly commensurate with qualifications and experience.
- Benefits: Generous fringe benefits including annual leave, medical and dental coverage, and a contract-end gratuity upon successful completion.
Shortlisted candidates will be required to attend a written test and a competency-based interview.
