Job Summary
Bring your organization, professionalism, and patient-first approach to a fast-paced Plastic Surgery practice. As a Clinic/Practice Assistant, you will help keep daily operations running smoothly while serving as a welcoming and reliable point of contact for patients, providers, and colleagues. Secondary Location: Flexibility to provide coverage at 170 University Drive, Amherst, MA, as needed.
Schedule: 8:30 a.m. to 5:00 p.m., Monday through Friday
Performs both administrative and clinical functions to support smooth and efficient clinical service or practice operations under general supervision. Performs basic clerical work and tasks that are repetitive and routine. Administrative duties related to patient visits, including scheduling, check-in, and check-out duties. Actual job duties may vary by Department.

Essential Functions
• Perform routine administrative and clerical duties relating to a clinical service or physician practice office.
• Make patient appointments and maintain appointment records.
• Greet and assist patients.
• Answer telephones, assist callers with routine inquiries, and schedule appointments.
• File materials in patient folders and print appointment schedules.
• Process patient billing forms and scan documents to patient medical records/LMR.
• Call for patient medical records and laboratory test results.
• Open and distribute unit mail or faxes.
• Type forms, records, schedules, memos, etc., as directed.
• May be required to accept co-payments.
• Handles, screens, and/or takes messages related to prior authorizations,
• provider questions, prescription refills, and test results.
• Acts as "Super User" for scheduling, registration, and billing systems.
• Provides assistance and training to others in these areas.
• May perform more complex or specialized functions (i.e., surgical scheduling, schedule changes/blocking) at a more advanced competency level.
Qualifications
What You’ll Bring
We’re looking for an organized, service-focused professional who is comfortable working in a busy office and communicating with patients, providers, and colleagues. To be successful in this role, you’ll bring:
A high school diploma or equivalent; experience cannot be substituted for this education requirement.
Preferred Credential
Certified Medical Administrative Assistant (CMAA) certification is preferred but not required.
Experience
Two to three years of office experience in a professional, patient-focused, or similarly fast-paced setting is required.

- Comfort using Microsoft Office and standard office equipment, including printers, scanners, copiers, and fax machines.
- Confidence managing routine and non-routine phone calls, responding to questions, and directing issues appropriately.
- Clear, professional verbal and written communication skills, including the ability to compose emails, memos, and letters and take accurate messages.
- Strong reading comprehension and attention to detail when working with job-related documents and patient information.
- Excellent organization and time-management skills, with the ability to balance multiple priorities, follow established procedures, and work effectively within office systems.
- A collaborative, service-oriented approach and a willingness to assist and communicate with others.
