Job Title: Household Manager/Executive Assistant
Location: Midlothian, VA (23113)
Employment Type: Part-Time | 12–20 hours per week to start (12 hours/week guaranteed), with potential to grow
Schedule: M-F; 2–3 days/week to start, with room to grow; flexibility for occasional date night childcare coverage with advance notice
Compensation: $30–$35/hour, based on experience

About Our Family & The Role
We are a busy, close-knit family entering an exciting new chapter as we settle into our new home in Midlothian. With two parents managing demanding careers, a school-aged child, and an active household, we are looking for support that helps create more ease, organization, and balance in our day-to-day lives, and that helps us build the systems behind our home and our family’s rental properties. Our home also includes a lovable 60-lb Redbone Coonhound who is very much part of the family.

This role will start with household management and property administration support and is expected to grow over time. As our needs evolve, it may expand into broader executive assistant responsibilities. We welcome seasoned professionals in executive support, operations, or corporate administration who are looking for a flexible, meaningful role.

Key Responsibilities
Household Management
- Serve as the day-to-day point person for the household, keeping operations running and priorities moving
- Monitor and pay invoices/bills and track due dates, renewals, and recurring expenses, with payments reviewed and approved by us on an agreed schedule
- Schedule and coordinate home service providers and repairs (cleaners, landscapers, HVAC, pest control, etc.), or showings
- Maintain a home maintenance calendar and seasonal checklist
- Provide a brief weekly update on what is done, what is coming up, and what needs our decision
Household Organization & Maintenance
- Create and maintain household organization systems
- Perform daily resets of living spaces, kitchen, and bathrooms, and prepare the home for regular cleaning visits
- Light tidying including putting away dishes, wiping surfaces, and vacuuming high-traffic areas
- Manage seasonal clothing swaps and décor transitions
- Occasionally prepare and coordinate donation drop-offs
- Indoor plant care
Inventory & Errands
- Restock and maintain household supplies (pantry, fridge, bath, laundry, and pet)
- Manage household orders and subscriptions from places like Amazon/Costco/Target/Walmart
- Occasional returns, dry cleaning, and gift shopping
- Mail and package handling
- Break down boxes
Administrative & Executive Assistant Support
- Manage household and family calendars and schedule appointments, keeping awareness of school schedules and upcoming events
- Track receipts and manage budget tracking for household and property management items
- Coordinate events, holidays, and guest prep
- Travel planning and logistics for family trips, including packing and unpacking and kennel reservations
Vendor & Property Administration
- Coordinate with contractors, cleaners, and landscapers for the family's property management business or primary home using established vendor contacts
- Gather quotes from preferred vendors as needed
- Support seasonal property maintenance and management of outdoor spaces
- Support the transition of the family’s prior home into a furnished midterm rental, including coordinating logistics and admin tasks, and help build the systems to run it (listings, bookings, guest communication, turnovers, and maintenance)
- Maintain and update property management spreadsheets; post and refresh rental listings (e.g., Zillow and midterm rental platforms) and handle tenant and guest communications
- Track rent, lease dates, renewals, and maintenance requests
Meal Planning & Prep
- Plan and batch cook/prep healthy meals and snacks approximately 2x/week
- Prepare school lunches 5 days/week
- Grocery shopping based on family preferences
- Follow dietary needs and preferences while cooking
- Kitchen clean-up and maintenance
Laundry & Linens
- Wash, fold, and organize family laundry
- Rotate towels and maintain tidy, well-stocked laundry areas
Family Support & Child Assistance
Childcare is not the primary focus of this role, but you enjoy being around children and are comfortable supporting our family.
- Serve as the regular date night sitter (potentially weekly or bi-weekly, with advance notice)
- Provide occasional backup childcare during school closures or family travel
- School drop-offs and pick-ups as needed (potentially, and not regularly)
- Prep backpacks, clothing, and snacks for school days
- Kid-related errands
Pet Care
- Occasional walks and feeding for the family dog
- Schedule vet and grooming appointments
- Maintain pet supplies
Special Projects
- Assist with organizational projects such as playroom or storage refreshes
