Job Description
Key Responsibilities
As an Executive Assistant, you will:
- Manage and prioritise the executive's inbox, diary, meetings, and follow-up actions.
- Coordinate and arrange internal and external meetings, conferences, and events, including venues, catering, agendas, minutes, and stakeholder communication.
- Support project administration by tracking deliverables, timelines, action items, and status updates.
- Coordinate domestic and international travel arrangements, including flights, accommodation, itineraries, travel packs, and expense claims.
- Prepare professional presentations, reports, correspondence, and other business documentation.
- Maintain accurate records, filing systems, and administrative processes.
- Support stakeholder engagement by coordinating schedules, communications, and meeting materials.
- Act as a trusted first point of contact, ensuring all queries and requests are handled professionally and efficiently.
Education/ Qualification:
Relevant diploma or degree in Business Administration, Office Administration, Management, Project Administration or a related field. An advanced executive-assistance or governance-related qualification is advantageous.
What We're Looking For
The ideal candidate will have:
- Proven experience as an Executive Assistant, Personal Assistant, Office Administrator, or Project Administrator.
- Exceptional organisational and time-management skills.
- Strong attention to detail and the ability to work accurately under pressure.
- Excellent verbal and written communication skills.
- Advanced proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
- Experience using virtual collaboration and online meeting platforms.
- A high level of professionalism and discretion when handling confidential information.
- The ability to work independently, anticipate needs, and manage competing priorities effectively.
- Strong stakeholder management and relationship-building capabilities.
