Job Scope 

High level purpose of function. 


The Training and Documentation Specialist supports manufacturing performance by coordinating effective training, maintaining competence and qualification records, and developing clear and accurate training and operational documentation. The role creates and manages documentation throughout its lifecycle, ensuring it remains accurate, up to date and accessible to the intended users. Working closely with managers and subject matter experts, the role ensures employees have the knowledge, skills and information required to perform their work safely, consistently and effectively. 


Key Responsibilities

Key responsibilities include (but are not limited to) 

  • Develop, maintain and follow up competence and qualification matrices in collaboration with shift managers and relevant stakeholders.  
  • Support shift managers in identifying competence gaps, setting training priorities and following up employee development and qualification progress.  
  • Collaborate with area leaders, subject matter experts and other stakeholders to identify learning needs and develop appropriate learning journeys.  
  • Plan and coordinate internal and external training programmes, industry certifications, onboarding activities and shop-floor training, including the required resources, facilities and materials.  
  • Administer and maintain the Learning Management System, ensuring training assignments, records and user information are accurate and up to date.  
  • Create, review and maintain training materials, e-learning content, work instructions and other operational documentation in collaboration with subject matter experts.  
  • Manage documentation throughout its lifecycle, including drafting, review coordination, approval, publication, revision and archiving, ensuring it remains clear, consistent, accessible and aligned with current processes and company standards.  
  • Complete supplementary tasks as seen fit by management to effectively utilize time and resource for the benefit of the business. 


 

Requirements 

Educational background and previous experience required for the role 


Qualifications and Experience 

  • Relevant education in learning and development, technical communication, business administration or a related field. Vocational qualifications are accepted; a bachelor’s degree is advantageous. 
  • Previous experience in training coordination, competence development, technical documentation or a similar role within a manufacturing or operational environment.  
  • Experience developing and maintaining training materials, work instructions, standard operating procedures or other operational documentation in collaboration with subject matter experts.  
  • Experience using a Learning Management System or similar digital platform to administer training assignments, learning content and competence records.  
  • Experience coordinating training activities, onboarding programmes or structured learning journeys for employees.  
  • Experience with document review, approval, revision and publication processes is advantageous.  
  • Proficiency in Microsoft 365 applications (particularly Word, Excel and PowerPoint). 
  • Experience with Teamcenter application is a plus.  

 

Specific skills & Knowledge 

  • Knowledge of training coordination, learning needs assessment and the development of structured learning journeys.  
  • Ability to organise and coordinate multiple training and documentation activities, priorities and stakeholders.  
  • Ability to create clear, consistent and user-focused training materials and operational documentation.  
  • Strong attention to detail, with the ability to maintain accurate training records and documentation.  
  • Strong communication and collaboration skills, with the ability to work effectively with managers, subject matter experts and employees across different functions.  
  • Confidence facilitating general training, meetings and workshops when required.  
  • Excellent English communication skills, both written and spoken. Swedish and other language skills are advantageous.  
  • Ability to work independently, manage changing priorities and deliver work within agreed timelines.
