Overview
The Recruitment Administrator will manage critical aspects of the recruitment process including candidate sourcing, onboarding support, orientation coordination & facilitation, and special projects. This position requires a high level of organizational and critical thinking skills in conjunction with the ability to interact professionally with candidates and hiring managers throughout the organization. This role will independently support all recruiting initiatives and continuously refine these processes to optimize candidate experience and maximize internal efficiencies.
Responsibilities
- Work with the recruitment team to evaluate current workflows and drive enhancements that strengthen overall recruiting operations.
- Manage key new hire onboarding responsibilities such as tracking pre-employment tasks, reviewing new hire IT ticket requests, communicating with HR and hiring managers, and coordinating orientation-day logistics.
- Act as the main on-site resource for corporate new hires by leading orientation sessions, distributing onboarding materials, and completing required new hire paperwork.
- Support the Director of Corporate Recruitment with recruiting/retention-related initiatives such as SOP development/review, special projects and ad-hoc reports as needed.
- Develop a strong working knowledge of the applicant tracking system to manage daily recruiting tasks including requisition management, candidate oversight and pipeline development.
- Utilize job boards (LinkedIn, Indeed, ZipRecruiter) to source qualified candidates and organize them into project-specific folders to proactively build a strong talent pipeline.
- Communicate with candidates as needed, including conducting screenings, outlining the recruitment process, and providing general onboarding and orientation information.
- Maintain accurate and up-to-date team information by regularly updating shared drives, spreadsheets, project folders and entries within the applicant tracking system.
- Stay current on the company’s organization structure, personnel policy, and federal and state laws regarding employment practices.
- Support the recruitment team’s daily operations by managing ad hoc tasks, projects and deliverables as needed.
Qualifications
- Minimum of a High School Diploma. Bachelor’s degree or equivalent in Human Resources or Business preferred.
- 1+ years of general administration experience in a fast-paced, office setting. Experience in Recruiting or HR Preferred.
- Communicates effectively and professionally with applicants and hiring managers at all levels within the company organization.
- Demonstrates meticulous attention to detail, strong organizational skills, and effective time management when balancing multiple tasks and competing priorities.
- Demonstrates strong business acumen and the ability to build and maintain effective working relationships with leaders, managers, and employees across the organization.
- Comfortable utilizing electronic operating systems, communication methods, and presentation tools (Microsoft Office Suite, Applicant Tracking System, etc.).
- Intermediate to advanced proficiency with Microsoft Excel.
- Ability to effectively interpret and communicate details related to policies and processes.
- Maintains confidentiality and a high level of business ethics.
- Adapts quickly and easily to changing priorities

- This is largely a sedentary role; however, this role may require the ability to lift files, open filing cabinets and bend or stand to complete other administrative functions.
Working Environment
- This role operates in a professional onsite office environment and routinely uses standard office equipment such as computers, phones, photocopiers, etc.
Salary Range
USD $73,000.00 - USD $75,000.00 /Yr.Benefits
