Description
- On-time arrival and delivery performance against the agreed schedule.
- Average vehicle waiting and unloading time.
- Inbound deliveries processed to schedule.
- Accurate and complete inbound documentation.
- The number of delivery discrepancies and transport-related incidents.
- The speed and accuracy of internal transfers between warehouse locations.
- Health and safety compliance, including incidents and near misses.
- Team productivity and the effective use of people and equipment.
- Reductions in delays, dock congestion and avoidable transport costs.
What You’ll Do
- Plan and coordinate daily inbound deliveries so vehicles arrive, unload and leave on schedule.
- Make sure space, equipment and people are ready before deliveries arrive, so goods move quickly from the dock to Receiving and Check-In.
- Coordinate inbound transport with internal teams and external transport providers, and keep a clear view of planned, delayed and completed deliveries.
- Tell warehouse teams about changes to incoming volumes or delivery times on the same working day, so they can plan their workload.
- Support transport capacity planning by matching expected volumes to warehouse processing capacity.
- Coordinate internal transfers between warehouse locations so stock reaches the right team when it’s needed.
- Resolve delays, congestion and bottlenecks, and escalate serious delays or capacity risks to the Head of Warehouse & Transport on the same working day.
- Lead, coach and support the inbound team, so everyone knows their priorities and works safely.
- Allocate daily tasks to match workload, priorities and available resources.
- Run daily briefings on targets, priorities and safety requirements, so each shift starts with a clear plan.
- Work with the Receiving, Check-In and Storage Team Leads so work flows smoothly between teams.
- Give feedback in monthly one-to-ones on attendance, punctuality and performance, and support each team member’s development.
- Run clear shift handovers so nothing is missed between shifts.
- Make sure all inbound transport and unloading follows our health and safety procedures.
- Keep vehicle movements, loading docks, unloading areas and pedestrian routes safe.
- Make sure drivers and team members follow site access, parking and unloading procedures.
- Check that material-handling equipment and personal protective equipment (PPE) are used safely and correctly.
- Report hazards, incidents, near misses and unsafe practices to the Head of Warehouse & Transport on the same working day, and support investigations and corrective actions.
- Make sure delivery notes, transport documents and receiving records are complete and recorded in [the warehouse management system, to confirm], so every delivery can be traced.
- Record differences between expected and actual deliveries, and escalate them to the teams involved on the same working day.
- Keep accurate records of delivery performance, delays and exceptions, and report them to the Head of Warehouse & Transport [weekly, to confirm].
- Analyse recurring delays, waiting times and congestion to find their root causes.
- Improve delivery schedules, vehicle utilisation and transport flows to reduce waiting times and avoidable costs.
- Lead and support Lean, 5S and continuous improvement work across the inbound flow.
What You’ll Bring
- Experience in logistics, warehouse operations or transport coordination, including managing incoming deliveries and handling disruptions.
- Experience leading or coordinating an operational team.
- A good understanding of inbound logistics, receiving, delivery documentation and warehouse safety.
- Strong organisation skills, with the ability to keep accurate operational records.
- Able to communicate clearly in English, spoken and written, with warehouse teams, drivers and transport partners. Proficiency in Dutch is an advantage.
- Experience coordinating external transport providers or company drivers.
- Experience with warehouse management systems (WMS), transport management systems (TMS) or similar tools.
- Lean, 5S or continuous improvement experience.
- Experience working across more than one warehouse location.
- 2-3 years of experience in logistics, warehouse operations or inbound transport coordination.
- When a delivery arrives with missing or damaged items, we record the discrepancy accurately and inform the relevant teams rather than ignoring it to meet our targets.
- When several trucks arrive at the same time, we work with Receiving and Check-In to agree on priorities, allocate resources, and keep the operation running smoothly.
- When we notice recurring delays at the loading dock, we investigate the root cause and explore ways to improve delivery schedules and reduce waiting times.
- When an unexpected delay puts the daily plan at risk, we proactively adjust priorities, communicate with affected teams, and follow up until the issue is resolved.
- When a team member struggles with a new process, we listen, provide supportive coaching, and help them improve without making them feel embarrassed or blamed.
