Hiring Range
$20.40 - $26.55/Hourly Actual pay is determined based on job-related factors such as relevant experience, education, credentials, skills, internal equity, and business needs.Overview
Works under the supervision of the Office Manager and Practice Director. Responsible for supervising the daily activities of the clerical team members. Oversees the day to day operations of the office and ensures smooth, efficient flow of patients through the office. Assists the Office Manager by providing feedback related to evaluations and disciplines. Orders medical and office supplies. Maintains current knowledge of coding, scheduling of appointments and efficient, customer-friendly practices of the office. Advises patients and/or patient family members regarding insurance, billing, surgical and other issues or refers them to the appropriate team member who can help. Train or coordinate training of new front office employees. Schedule day to day activities of the physician. Other duties as assigned including but not limited to the ability to fill most positions in the event of vacancies and to assist with office efficiency. Maintains our professional standards.
What you will do
- Assists patients regarding bills, insurance, and other issues. Refers to appropriate team member when unable to help personally.
- Assists or fills in for any office position.
- Monitors facilities on an ongoing basis and assures the cleanliness of all waiting areas, reception areas, patient exam areas, employee break areas, restrooms, and other common areas.
- Ensures closing procedures and deposit is completed accurately.
- Assures that customer service is a focus of the practice. Uses information from patient satisfaction surveys to improve patient perception of care. Resolves concerns and responds to complaints related to care, access, and service.
- Assures equipment is maintained and supplies are ordered and stocked as necessary.
- Evaluates skill mix and utilization of team members to identify areas for improved effectiveness and efficiency.
- Appointment slots are kept full by rescheduling no shows and utilizing any other means necessary to maintain patient volume.
- Coordinates department-specific new hire orientation to minimize voluntary turnover. Coordinates, plans, and monitors education including mandatory education and orientation. Trains front office staff.
- Oversees the completeness and accuracy of medical records for continuity of care and timely service.
- Responsible for the supervision of the operational aspects of the practice including physician's schedule, appointments, staffing levels, payroll, customer service, access to care, and account management if applicable. Maintains scheduling per the physician matrix and physician requests.
- Assures co-pays are collected and insurance is properly documented. Averages less than 5% error rate in setting up cases and appointments. Time of service collections should be at least 25-30%.

- 1-3 years Medical Office experience (Preferred)
- 1-3 years Coding experience (Preferred)
