The LIMO will work closely with the Field Administration Associate Manager on asset, insurance, and office logistics matters, and with the ICT Associate Manager on technology assets and IT-related logistics, while keeping the Operations & Procurement Manager (OPM) informed on stock levels, asset condition, and logistics risks. The role rewards strong organizational discipline, a safety-first mindset, and comfort using Google suite and other tools to track inventory accurately.

  • Conduct regular cycle counts and full physical stock takes of phones and other assets; including participation in  routine asset verification exercise
  • Maintain and update the phone and asset inventory database using GiveDirectly's internal tools
  • Manage recipient phone counts and tracking as the primary inventory focus, sharing periodic stock updates with the OPM and finance team
  • Receive and tag phones and other assets upon procurement; distribute to staff/field teams and retrieve at end of contract or program cycle
  • Coordinate repair, maintenance, and condition assessments of phones and other assets and equipment
  • Maintain insurance records for phones and other valuable inventory in coordination with the Procurement and Administration Associate Manager
  • Process asset disposal in line with policy, and manage claims for lost or damaged phones and other assets
  • Maintain accurate, audit-ready records of all internal inventory and assets, with phones as the priority category
  • Ensure office alarms, fire extinguishers, and first aid kits are functional, serviced, and stocked
  • Support the sourcing and set-up of field office locations as needed
  • Coordinate with the ICT Associate Manager and any outsourced IT consultants on repairs and maintenance of computers and equipment
  • Track IT-related assets within the overall inventory and tagging system
  • Support efforts to ensure office internet connectivity and power backup solutions remain functional
  • Provide periodic inventory, asset, and logistics reports to the OPM, copying in other relevant management team members
  • Flag stock, warehouse, or logistics risks to the OPM in a timely manner
