Description

Provides clerical duties and customer service for the department. This is an entry-level, professional, full-time position with the Municipal Court. Under the direct supervision of the Court Administrator. Maintains all court records and assists customers on the telephone and in person at the window. Requires specialized knowledge of court operations, policies, and procedures and state laws and statutes. Work involves judicial and financial record keeping, requiring the exercise of judgment within established departmental guidelines and policies. This information is intended to be descriptive of the key responsibilities of the position.  The following examples do not identify all duties performed by any single incumbent
  1. Processes tickets and complaints by recording ticket payments, creating file folders, entering information into computer, printing and processing paperwork and filing files and documents.
  2. Prepares cases filed with the court by importing or entering citations into the court’s case management system. 
  3. Assists customers by answering questions, providing explanation of court procedures, accepting payments, creating payment plans, making copies, obtaining information and answering telephones.
  4. Updates and inputs data efficiently on case files with notes, as contact is made with defendants, judges, attorneys, officers or others.
  5. Performs clerical duties by returning citations or complaints to pending files, answering mail, composing letters and mailing a variety of information.
  6. Aids in organizing and maintaining case files and court records. 
  7. Provides effective communication (oral or written) on information regarding various court policies, procedures, and city ordinances in regards to fines, payments and status of cases.
  8. Performs basic cashiering and general accounting functions such as receipting payments, cash handling, receipt balancing, making change, and dealing directly with payees.
  9. Researches and verifies all incoming payments against respective citations or court documents to ensure that payment amount is correct and paid in a timely manner. 
  10. Receives, sorts and distributes incoming mail and e-mails as necessary.
  11. Assists and provides clear, concise, and accurate information to the public, at the window and on the telephone regarding the scheduling of court dates, driving safety course, warrants, processing cases under the directive of standing orders issued by the presiding judge.
  12. Compiles, types, records and files a wide variety of court records, reports, and materials, including citations, summons, warrants, letters, and complaints.
  13. Performs other duties as may be assigned.
Education, Certification and Experience Required:
  • Possession of a High School diploma or equivalent is required.
  • A minimum of one year of experience working in a Municipal Court is preferred.
  • Possession of a valid Texas Class C Driver’s license
  • Possession of a Texas Municipal Court Level 1 Certification, or must obtain within two years of employment.
Required Knowledge, Skills and Abilities:
  • Knowledge of office practices and procedures
  • Knowledge of court procedures
  • Knowledge of basic mathematical principles Ability to perform excellent customer service
  • Bilingual (Spanish) preferred
  • Ability to type minimum of 40 wpm accurately
  • Ability to maintain confidentiality
  • Ability to maintain regular and predictable attendance
Machines, Tools, Equipment and Work Aids:
  • Computer and court software, printer, copier, adding machine
Special Requirements:
  • Must be bondable.
  • Must be able to pass a background and credit check.
  • Must obtain Texas Municipal Court Level 1 Certification within two years of employment.


Duties are generally performed in an office setting.  Some light work requiring occasional lifting objects up to 20 pounds.  Must be able to sit or stand for long periods of time.  Work may also require stooping, kneeling, crouching, bending, standing, walking, pushing, and pulling.
