About The Role

We're looking for a highly organised and proactive Business Support / Executive Assistant to join our Sheffield Agency & Development Team. This is an exciting opportunity to become a key member of a fast-paced, client-focused business, providing first-class support to a successful team while helping to drive operational excellence across the office.
About the Role
As the first point of support for the Sheffield Agency & Development Team, you will play a critical role in ensuring the smooth day-to-day running of a busy department. You'll work closely with senior stakeholders, managing a broad range of administrative, operational, business development and marketing activities, while acting as a trusted partner to the team. 
This is a varied role that requires exceptional organisation, attention to detail and the ability to manage multiple priorities in a professional and collaborative environment. 
Key Responsibilities
Executive & Administrative Support
  • Provide comprehensive administrative support to the Sheffield Agency & Development Team and wider office.
  • Act as the first point of contact for incoming enquiries via phone, email and in person.
  • Manage diaries, coordinate meetings, conference calls and property viewings.
  • Prepare meeting papers, agendas and presentations.
  • Produce and format reports, client documents, presentations, letters, minutes and correspondence.
  • Support business travel arrangements, conferences, team events and strategy days.
  • Attend meetings, take minutes and follow up on agreed actions.
  • Build strong relationships with clients, colleagues and stakeholders while acting as an ambassador for the team.
Data, Financial & Operational Support
  • Maintain records and databases using internal systems.
  • Gather, validate and analyse data, transforming information into clear reporting and dashboards.
  • Coordinate client invoicing and support supplier invoice processing.
  • Assist with expense claims, travel approvals and referral processes.
  • Support mandatory training administration and team compliance activities.
  • Liaise with IT teams to help resolve system issues and support colleagues where required. 
Compliance & Process Management
  • Support risk, audit, AML and compliance processes, working closely with specialist teams.
  • Ensure electronic filing systems, records and property files are accurately maintained and audit-ready.
  • Act as the team's Information Security Champion, promoting best practice and escalating issues where necessary.
  • Maintain contact information across company platforms and manage document storage and retrieval systems.
  • Update property databases, mailing lists and marketing information, including the addition of new instructions.
Marketing, Business Development & Events
  • Act as Marketing Coordinator for the team, ensuring all collateral aligns with brand standards.
  • Coordinate the production of marketing materials including presentations, newsletters, invitations, pitch documents and property campaigns.
  • Support social media activity, including LinkedIn content.
  • Assist with CRM and business development initiatives.
  • Coordinate pitch production with internal creative, marketing and business development teams.
  • Organise and support team and client events from planning through to delivery. 
About You

Essential Skills & Experience
  • At least 1 year's experience in an administrative, operations, executive assistant or business support role.
  • Strong Microsoft Office skills, including Word, Excel, PowerPoint and Outlook.
  • Excellent organisational and time management abilities.
  • Strong communication and stakeholder management skills.
  • High attention to detail and commitment to quality.
  • Ability to manage multiple tasks and priorities simultaneously.
  • A proactive, solutions-focused approach and willingness to take ownership. 
Desirable
  • Experience supporting business development, marketing or events.
  • Exposure to compliance, audit, AML or information security processes.
  • Experience working with CRM systems and databases.
  • Experience supporting senior stakeholders or leadership teams.
