The Onboarding Administrator supports the Power Generation Region by delivering accurate, timely, and well organized administrative assistance throughout the onboarding process. This role ensures that all onboarding activities are carried out in alignment with established policies, quality standards, and regulatory requirements. Working closely with the Onboarding Coordinator, HR partners, and site teams, the Onboarding Administrator helps maintain documentation, prepare onboarding materials, track progress, and facilitate a smooth and professional experience for all new hires.
DUTIES AND RESPONSIBILITIES
- Hiring & Onboarding
- Prepare hire kits, print schedules and Computer-Based Training (CBT) lists
- Distribute, collect, verify hire paperwork, TLD forms and qualification cards
- Scan and process IDs, qualification cards, TLD forms
- Monitor new hires in onboarding room
- Set up Client eLearning profiles as required
- Activate new hires in client Training/Onboarding systems (e.g. OPG ONboard)
- Monitor and track CBT progress continuously, ensuring trainees are progressing at a sufficient rate
- Daily attendance tracking, filing & reporting
- Create and submit timesheets for new hires (Skilled Trades (BTU) Only)
- Prepare Report to Site notifications
- Enroll new hires biometrics (fingerprint) in the client job clock (BTU Only)
- Mailboxes, Calendars and Communication
- Monitor shared mailbox and process requests as needed
- Maintain PGR Onboarding calendar - secure room bookings, notify facilitators and stakeholders etc.)
- Communicate information to internal/external stakeholders
- Schedule team/department meetings & record/distribute minutes
- Provide general administrative support to the team
- Travel and Board Allowances
- Provide instructions for and distribute Allowance Applications to new hires
- Collect supporting documents from new hires and provide to Travel and Board Admin (Finance)
- Assist other departments/teams with audits as needed
- Training, Learning & Development and other Admin support
- Coordinate with the Training and Learning & Development teams to roster new hires for required Plant Access Training (PAT)
- Assist with processing and submission/upload of TLD renewal forms
- Work with Training Coordinators and Learning & Development Coordinators on other duties as assigned
- Document Control and Records Management
- Maintain Tracking Logs (help requisitions, employee information, clearances, terminations, etc.)
- Ensure the current revision of the Hire Kit is used
- Maintain project libraries (training files, help requisitions, dispatch slips, etc.)
- Document and notify training coordinator or manager of issues in a timely manner

EDUCATION REQUIREMENTS
- Completion of a College certificate or University degree in Business Administration, Human Resources, or a related field is required
- Training or coursework related to office administration, HR processes, or records management is an asset
- Experience with onboarding, HR systems, or training platforms is considered an asset
- Completion of relevant safety or industry‑related training is an asset (e.g., nuclear/site onboarding requirements)
WORK EXPERIENCE REQUIREMENTS
- 2–4 years administrative experience
- Experience supporting onboarding, HR, or training‑related workflows
- Experience maintaining records and processing documentation
- Familiarity with onboarding, training, or eLearning systems
- Experience coordinating schedules, room bookings, or logistics
- Experience handling confidential employee information
SKILLS, ABILITIES, AND OTHER REQUIREMENTS
- Strong understanding of training processes and administrative workflows
- Proficiency in Microsoft Office (Excel, Word, Outlook, Teams)
- Ability to maintain accurate records and follow document control standards
- Strong attention to detail when preparing hire kits and processing paperwork
- Effective communication skills for working with new hires, internal teams, and client partners
- Ability to manage multiple priorities and deadlines in a fast‑paced environment
- Comfortable navigating onboarding systems, training platforms, and eLearning tools

COMPENSATION
The expected salary range for this role is between $50,000/annually and $65,000/annually. The starting salary will be based on several factors such as the successful candidate’s qualifications, including but not limited to education, experience and overall competencies. Salary is one component of Black & McDonald’s total rewards package. Total rewards vary by position and may include additional offerings such as group insurance benefits, pension plan, annual performance bonus, and career development programs.
