THE OPPORTUNITY
Silvus is seeking an Administrative Assistant, Human Resources, who will provide comprehensive administrative support to the Human Resources team. Reporting to the Senior Human Resources Administrator, this role supports scheduling, onboarding and offboarding paperwork, assisting with employee resources, and other administrative tasks that support the Human Resources team.
This position is fully onsite, Monday through Friday, at Silvus Technologies’ headquarters in the heart of vibrant West Los Angeles.
The following is a summary of key responsibilities for this role. Management reserves the right to assign or reassign duties and responsibilities at its discretion.
ROLE AND RESPONSIBILITIES
Assist the Human Resources team with administrative support.
Update and maintain records and files; perform scanning, emailing, copying, and organizing tasks, including job description conversions and obtaining signatures via Zoho sign.
Support new hire orientation and employee offboarding processes and paperwork. Provide tours for new employees.
Assist with obtaining proper/compliant signatures on job descriptions, filing, and maintaining folders.
Maintain and update internal resources such as emergency contact information, organizational charts, company directory, badges, etc.
Monitor out-of-office emails and serve as a point of contact for employee inquiries.
Provide information to employees inquiring about LOAs and other related benefits.
Coordinate and schedule appointments and meetings for HR team members.
Serve as backup support for the Front Desk team.
Assist with planning and executing company events, including weekly lunches, monthly birthday celebrations, quarterly All-Hands meetings, holiday luncheon, and other employee events.
Liaise between Human Resources and other departments.
Provide support for any internal or external reporting and assist with any ad hoc projects needed.
Coordinate travel arrangements, including flights and hotel accommodation, as required.
Collaborate with Front Desk and Facilities teams on various tasks and projects.
Occasional travel to other locations may be needed.
Perform other related duties of which the above are representative.
REQUIRED QUALIFICATIONS
Associate’s degree in a related field.
3+ years of administrative experience in a fast-paced environment with multiple competing deadlines.
High proficiency in Google Workspace and Microsoft Office (Excel, Word, PowerPoint).
Excellent written and verbal communication skills with a polished, professional demeanor.
Strong organizational, time management, and reliability skills. Attention to detail with the ability to work independently.
Must be a U.S. Person (U.S. Citizen, or U.S. Permanent Resident) due to clients under U.S. federal contracts.
All employment is contingent upon the successful clearance of a background check and drug test.
PREFERRED KNOWLEDGE, SKILLS, AND ABILITIES
Bachelor’s degree in a related field.
Excellent interpersonal skills and the ability to handle sensitive and confidential information with discretion, professionalism, and diplomacy.
Team-oriented mindset with a willingness to contribute to a collaborative work environment.
Strong customer service orientation with a professional, approachable, and positive attitude.
WORKING CONDITIONS
Office environment requiring movement between multiple offices and floors.
Extended periods of sitting.
Ability to lift up to 20 lbs.
COMPENSATION: $28 - $30 / hourly
