THE OPPORUNITY
Our FinTech client is hiring 4 REMOTE Training Coordinators. The Training Coordinator is the operational backbone of the learning function — ensuring every training session is set up for success before a facilitator walks into the room (or logs into the virtual session). This role owns the end-to-end logistics, scheduling, learner communication, and data tracking that enables high-quality, consistent training delivery at scale.

The ideal candidate is highly organized, learner-centric, and thrives in a fast-paced environment where attention to detail directly impacts the learner experience. This role is an essential bridge between facilitators, learners, operations, and the LMS — making sure nothing falls through the cracks.

The Training Coordinator works in close partnership with the Learning Facilitator and Facilitation Manager to ensure seamless delivery across all training programs. While the Facilitator owns the learner experience in the room, the Training Coordinator owns everything that happens before and after — so that learners arrive prepared, data is captured accurately, and no operational detail is left to chance.

Training Logistics & Scheduling:
  • Own the scheduling and coordination of instructor-led (ILT), virtual (VILT), and blended learning sessions across programs.
  • Manage session setup requirements including room reservations, technology configuration, materials preparation, and catering or equipment needs.
  • Send calendar invitations and confirmations to participants, facilitators, and stakeholders; manage rescheduling and cancellations.
  • Coordinate facilitator travel, onsite access, and session readiness checks prior to delivery.
  • Serve as the day-of point of contact for session logistics — opening virtual sessions, managing breakout rooms, and resolving setup issues in real time.
LMS Administration Partnership & Compliance Tracking:
  • Manage learner enrollment, waitlists, completions, and certifications in the learning management system (LMS).
  • Generate and distribute regular reports on training completion, compliance status, and learner progress.
  • Maintain accurate, audit-ready learner records and documentation.
  • Troubleshoot LMS access issues and escalate system errors appropriately.
  • Partner with the LMS administrator and instructional designers to ensure content is published, configured, and accessible.
Materials & Resource Management:
  • Prepare, print, organize, and distribute training materials, job aids, and participant workbooks.
  • Maintain a version-controlled library of training resources, ensuring facilitators always have the most current materials.
  • Coordinate supplies, printing, and equipment orders for in-person training sessions.
  • Support content updates by routing revised materials through the appropriate review and distribution workflow.
Facilitator & Vendor Coordination:
  • Serve as the primary logistics point of contact for internal facilitators and external vendors.
  • Coordinate scheduling, onboarding, and session briefings for contract facilitators and third-party training providers.
  • Process invoices, track training-related expenses, and flag budget variances to the Facilitation Manager.
  • Support train-the-trainer events with coordination, attendance tracking, and documentation.
Learner Communication & Experience:
  • Draft and send pre-training communications, session reminders, and post-training follow-ups.
  • Respond to learner inquiries about enrollment, schedules, prerequisites, and completion requirements.
  • Create a welcoming, organized environment — virtual or in-person — that reduces friction and sets learners up for success from the moment they arrive.
  • Collect and distribute post-training evaluation surveys; summarize results for facilitator and program review.
Data, Reporting & Continuous Improvement:
  • Track and report on key training metrics: session attendance, completion rates, learner satisfaction scores, and no-show rates.
  • Compile Kirkpatrick Level 1 and Level 2 data to support program evaluation.
  • Identify patterns (recurring scheduling conflicts, low completion cohorts, tech issues) and surface insights to the Facilitation Manager.
  • Maintain training calendars, dashboards, and program trackers to support planning and capacity management.
Qualifications:
  • Strong organizational and project management skills with the ability to juggle multiple priorities simultaneously without losing accuracy.
  • Clear, professional written and verbal communication — able to write crisp participant-facing messages and concise internal updates.
  • Proficiency with virtual facilitation and meeting platforms (Zoom, Microsoft Teams, Webex, Google Meet).
  • Experience with LMS administration (Workday Learning, Cornerstone OnDemand, Docebo, or equivalent).
  • Proficiency with Microsoft Office Suite and/or Google Workspace (Docs, Sheets, Calendar, Drive).
  • Customer-service orientation: treats learners and facilitators as internal clients and proactively anticipates their needs.
  • Comfort with data tracking and basic reporting; able to compile and present clean, accurate metrics.
  • Adaptable and calm under pressure — training logistics require real-time problem solving when things don't go as planned.
  • Collaborative team player who builds trust with facilitators, operations, and L&D partners.
Education and Experience:
Required:
  • Associate's or Bachelor's degree in Human Resources, Education, Business Administration, or a related field — or equivalent professional experience.
  • 1–3 years of experience in training coordination, learning operations, HR administration, or a related support function.
  • Demonstrated experience managing calendars, scheduling, and logistics for programs or events.
  • Experience with at least one LMS platform.
  • Familiarity with adult learning principles and blended learning models (ILT, VILT, eLearning).
  • Experience supporting contact center, customer service, or onboarding training programs.
  • Exposure to instructional design workflows and content management.
  • Certification in learning operations or training administration (e.g., ATD Administrative Certificate, Certified Professional in Talent Development [CPTD] foundational coursework).
