Reports To: President/CEO

Status: 80 hours per two week pay period

Shift: 8:00 am - 4:30 pm

Job Schedule: Full time

Weekly Hours: 40 hours

Position Purpose: 

The Medical Staff Coordinator provides administrative and coordination support for HRMC's medical staff and provider-related functions. This position serves as a primary liaison between HRMC providers, hospital leadership, outside credentialing services, and other external agencies.


The Medical Staff Coordinator coordinates and tracks provider credentialing and enrollment information, maintains provider call schedules, supports Medical Staff and Medical Executive Committee activities, assists with provider scorecards and quality information, and maintains accurate and current provider records. This position works closely with physicians, advanced practice providers, the CEO, CFO, COO, and other hospital departments to support effective medical staff operations.


Medical Staff & Credentialing Coordination:

  • Serves as a primary administrative contact for physicians and other providers regarding medical staff activities and information.
  • Works closely with HRMC's outside credentialing and enrollment company to coordinate, provide, receive, and track information necessary for provider credentialing and recredentialing and payer enrollment.
  • Maintains accurate and current provider information, documentation, and records in accordance with hospital processes and confidentiality requirements.
  • Tracks credentialing activities, expirations, outstanding information, and other provider requirements and communicates needed follow-up to appropriate individuals.
  • Facilitates communication between providers, hospital leadership, credentialing services, and other departments as needed.

Provider Call Schedule & Coverage:

  • Manages and maintains physician and provider call schedules using AMION.
  • Works closely with physicians and providers to maintain accurate and current call coverage information.
  • Coordinates with outside agencies and hospital leadership to assist with obtaining provider call coverage when needed.
  • Communicates schedule changes and maintains accurate call coverage information for appropriate hospital departments.

Medical Staff & Committee Support:

  • Provides administrative support for Medical Staff and Medical Executive Committee meetings.
  • Prepares and distributes meeting agendas and supporting materials.
  • Attends meetings, records and prepares accurate meeting minutes, and maintains appropriate meeting documentation.
  • Tracks action items and follow-up responsibilities resulting from Medical Staff and Medical Executive Committee meetings.
  • Maintains organized and confidential medical staff committee records.

Provider Performance & Quality Support:

  • Assists the CEO with the coordination, maintenance, and tracking of provider scorecards and related information.
  • Maintains current and accurate information needed for provider performance reporting.
  • Works closely with the COO to coordinate and track physicians and provider information related to applicable quality measures.
  • Assists leadership with collecting, organizing, and maintaining provider-specific information needed for quality, performance improvement, and other organizational initiatives.

Administrative & Provider Support:

  • Develops and maintains positive working relationships with HRMC physicians, advanced practice providers, hospital leadership, employees, and external organizations.
  • Provides general administrative and clerical support related to medical staff functions.
  • Maintains calendars, correspondence, reports, spreadsheets, files, and other departmental information.
  • Handles confidential and sensitive provider and organizational information with appropriate discretion.
  • Assists with special projects and other medical staff or administrative activities as assigned.
  • Provides backup administrative support to the CEO and Executive Leadership Team when the Executive Assistant to the CEO is absent or out of the office.

Other Job Duties:

  • Maintains organized medical staff files, committee records, credentialing information, and related documentation.
  • Monitors deadlines and follows up with providers, leadership, credentialing services, and external agencies regarding outstanding information.
  • Assists with preparation of reports, correspondence, presentations, and other materials as requested.
  • Maintains confidentiality of provider, patient, employee, peer review, quality, and organizational information as applicable.
  • Provides administrative support to the CEO and COO for provider-related activities as assigned.
  • Performs other duties as assigned.

Requirements

  

Minimum Education and Experience:

  • High school diploma or equivalent required.
  • Associate degree in business, healthcare administration, medical office administration, or related field preferred.
  • Previous administrative or general office experience required.
  • Previous healthcare, medical staff, credentialing, or provider office experience preferred.
  • Experience working with physicians and advanced practice providers preferred.

Knowledge, Skills, and Abilities:

  • Strong organizational skills with excellent attention to detail.
  • Excellent written and verbal communication skills.
  • Strong interpersonal and customer service skills with the ability to work effectively with physicians, advanced practice providers, hospital leadership, employees, and external organizations.
  • Ability to coordinate multiple priorities, deadlines, meetings, and follow-up activities.
  • Ability to maintain accurate records and track information through completion.
  • Ability to prepare professional meeting agendas and accurate meeting minutes.
  • Proficient in Microsoft Word and Excel.
  • Knowledge of Microsoft Outlook and Teams preferred.
  • Ability to learn and effectively use AMION, credentialing platforms, hospital information systems, and other software applications.
  • Strong general office, computer, filing, recordkeeping, and clerical skills.
  • Ability to work independently, use sound judgment, and recognize when issues require leadership involvement.
  • Ability to handle confidential and sensitive information with a high degree of professionalism and discretion.
  • Ability to establish and maintain effective working relationships throughout the organization.
