What this job involves:
As the welcoming face of our workplace, you'll be the first point of contact for clients, visitors, and colleagues — creating positive first impressions that reflect JLL's commitment to excellence. This dual-focused role combines front-of-house hospitality with efficient mailroom operations, ensuring seamless communication flow and a well-organized facility environment. You'll manage reception duties with warmth and professionalism while coordinating the distribution of mail, packages, and courier services across the organization. What your day-to-day will look like:
- Greet all visitors, clients, and employees with a professional and friendly demeanor, managing the visitor registration process and ensuring appropriate access protocols are followed
- Answer, screen, and direct incoming calls to the appropriate departments or individuals, taking accurate messages when necessary
- Coordinate and manage meeting room bookings, ensuring spaces are prepared and equipped for scheduled appointments and conferences
- Sort, distribute, and track incoming and outgoing mail, packages, and courier deliveries across multiple departments and floors
- Maintain an organized mailroom system, including logging shipments, coordinating express deliveries, and managing the franking machine
- Handle administrative tasks such as data entry, filing, photocopying, and maintaining office supplies inventory for reception and mailroom areas
- Liaise with building management, security personnel, and external vendors to resolve facility-related queries or issues
- Support workplace operations by monitoring reception and mailroom areas to ensure they remain clean, organized, and professionally presented
- Assist with ad-hoc administrative projects and tasks as needed to support the broader facilities and office services team
Required qualifications:
- High school diploma or equivalent educational qualification
- Minimum 1-2 years of experience in a receptionist, front desk, or mailroom role, preferably in a corporate or commercial real estate environment
- Strong interpersonal and communication skills with the ability to interact professionally with diverse stakeholders at all levels
- Excellent organizational abilities and meticulous attention to detail when managing multiple tasks simultaneously
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel) and general computer literacy
- Physical ability to lift and move packages and mail items weighing up to 20 kg on a regular basis
- Flexibility to adapt to changing priorities and handle unexpected situations with composure and problem-solving skills
Preferred qualifications:
- Experience using visitor management systems and mailroom tracking software
- Knowledge of courier services, postal regulations, and shipping procedures
- Previous experience in facilities management or office services within a multi-tenant commercial building
- Demonstrated ability to maintain confidentiality and handle sensitive information with discretion
- Second language skills relevant to the local business environment
