Position Overview:
The HR Operations Specialist is primarily responsible for managing clinical license reimbursement. This role will process and track license reimbursement submissions, review receipts and supporting documentation, verify clinical licenses, coordinate reimbursement processing, ensure accurate and timely inputs, and manage reimbursement repayment dates. In addition to licensing and reimbursement responsibilities, the HR Operations Specialist will support employee and consultant lifecycle processes, HR documentation, workforce administration, HRIS maintenance, compliance activities, and coordination with internal stakeholders.
Clinical Licensing & Reimbursements:
· Manage and maintain accurate records of clinical license reimbursement submissions across the organization and supported regions.
· Review submitted license reimbursement requests for completeness, accuracy, and compliance with company reimbursement policies.
· Review receipts and supporting documentation to verify that expenses are valid and relate to the applicable clinical license, renewal, or licensing fee.
· Verify clinical license information associated with reimbursement submissions, including license number, state, status, and other applicable details.
· Process and track reimbursement requests from submission through reimbursement completion and repayment timelines.
· Coordinate with employees, consultants, payroll, finance, and other internal stakeholders to resolve missing documentation, discrepancies, or questions related to reimbursement submissions.
· Ensure approved reimbursement information is accurately submitted to payroll within established processing timelines.
· Follow up on outstanding reimbursement payments, rejected submissions, or discrepancies to ensure timely resolution.
· Maintain organized records of reimbursement requests, receipts, payment confirmations, license documentation, and related correspondence.
· Coordinate payment of applicable fees associated with new clinical license applications.
· Verify newly issued licenses and ensure accurate license information is documented in the appropriate internal systems.
· Communicate with employees, consultants, payroll, and other stakeholders regarding application and reimbursement status.
· Prepare regular reports or updates on license reimbursement activity, new license applications, pending submissions, and payment status.
· Identify incomplete submissions or documentation issues and follow up with the appropriate individuals to obtain the information needed to complete processing.
· Ensure all licensing and reimbursement records are maintained accurately and are readily available for audit or compliance purposes.
Qualifications:
· Experience in HR Operations, HR Shared Services, staffing operations, workforce administration, licensing administration, or a related operational role.
· Experience processing or tracking professional or clinical license reimbursements preferred.
· Familiarity with clinical license verification and state licensing boards.
· Experience reviewing receipts, expense documentation, and reimbursement requests.
· Strong attention to detail with the ability to identify discrepancies, missing documentation, and payment issues.
· Experience coordinating reimbursements, payments, payroll inputs, or finance-related processes.
· Ability to manage multiple reimbursement submissions and licensing applications simultaneously.
· Knowledge of employee lifecycle management and HR operational processes.
· Hands-on experience with HRIS platforms such as UKG and Keka preferred.
· Strong communication, follow-up, coordination, and stakeholder management skills.
· Excellent organizational and documentation skills.
· Proficiency in Microsoft Office tools, particularly Excel and reporting functions.
Preferred Qualifications:
· Experience supporting clinical or healthcare professional licensing across multiple U.S. states.
· Familiarity with state clinical licensing boards and online licensing portals.
· Experience supporting initial license applications, licensing fees, or license verification.
· Experience with reimbursement, expense management, payroll, or accounts payable processes.
· Experience supporting multi-state or multi-region workforce operations.
· Familiarity with audit and compliance documentation processes.
· Experience working with remote or distributed workforce models.
