Description
The Administrative Assistant will provide administrative and operational support to our management, sales, warehouse, and customer service teams. The ideal candidate is someone who can multitask, stay organized in a fast-paced environment, communicate professionally, and take ownership of their responsibilities.
Experience in wine & spirits, beverage distribution, logistics, or a similar industry is a plus, but we are willing to train the right candidate.
Responsibilities
- Provide day-to-day administrative support to management and the sales team
- Answer phones, respond to emails, and communicate with customers and vendors
- Enter and maintain customer orders and sales information accurately
- Assist with scheduling deliveries and coordinating with drivers and the warehouse
- Prepare reports, spreadsheets, invoices, and other business documents
- Maintain accurate customer and product records
- Assist with order changes, credits, returns, and other customer requests
- Communicate with customers regarding orders, deliveries, pricing, and account questions
- Help coordinate communication between sales, warehouse, delivery, and management teams
- Track and follow up on outstanding issues to ensure they are resolved
- Assist with inventory and product-related administrative tasks
- Maintain organized electronic and paper files
- Handle confidential information professionally
- Perform other administrative duties as needed
Requirements
Qualifications
- Previous administrative, office, customer service, or coordinator experience preferred
- Strong organizational and time-management skills
- Excellent attention to detail and accuracy
- Strong written and verbal communication skills
- Ability to multitask and prioritize in a fast-paced environment
- Proficient with Microsoft Office, especially Outlook and Excel
- Comfortable learning new software and computer systems
- Professional and friendly communication style
- Reliable, dependable, and willing to take initiative
- Ability to work independently while also being a strong team player
Preferred Experience
Experience in any of the following is a plus:
- Wine & spirits
- Beverage distribution
- Wholesale distribution
- Logistics or delivery operations
