As Executive Assistant to the Group CEO, you will serve as a key operational partner managing complex scheduling, high-stakes meeting preparations, expenses, budget tracking, and internal/external communications during a 13-month maternity cover period.
Operating with high autonomy, you will leverage modern AI productivity tools to streamline executive workflows, act as a key driver of communication and connectivity between the Group CEO, Exec Team, and the wider company, build positive stakeholder relationships, and drive results in a fast-paced environment.
You will be responsible for:
Schedule Management & Coordination: Proactively manage the Group CEO's complex schedule with a clear understanding of business priorities; coordinate and prioritise meetings, travel, and events, anticipating conflicts and resolving them before they become a problem.
Company Connectivity & Internal Communication: Optimise communication and connectivity between the Group CEO, Exec Team, and the company as a whole, ensuring operational updates, key decisions, and strategic priorities flow across all business units.
Executive Operational Rhythm & Off-Sites: Facilitate the Exec Team’s operational rhythm by managing the weekly Exec Check-in and leading end-to-end planning for quarterly Exec Off-Sites, including travel, accommodation, itineraries, agendas, and guest coordination.
AI Tooling & Workflow Optimisation: Utilise AI productivity applications (e.g., meeting summarisers, transcription tools, calendar scheduling, and document generation assistants) to streamline C-suite output, draft briefs, and enhance operational efficiency.
Meeting Preparation: Organise and prepare for meetings by defining clear agendas, gathering relevant information, producing briefing documents, ensuring rooms are booked, AV is set up, pre-reads are arranged, ensuring guests are signed in, and expected attendees are confirmed.
Financial Administration & Budget Tracking: Manage expenses, invoices, and budget tracking where required, ensuring all claims, supplier invoices, and financial approvals are submitted and processed on time.
Executive Approvals & Workflow Oversight: Oversee and facilitate the timely approval by the Group CEO for critical company materials, including contracts, press releases, commercial assets, presentations, social content, and org-wide communications.
Travel & Logistics: Oversee all aspects of the Group CEO's travel (itineraries, accommodation, logistics) optimising for productivity even when on the move. Handle the unexpected promptly and keep things running smoothly.
Executive Task Coordination: Support ad-hoc initiatives for the broader Exec Team by gathering information, preparing materials, and ensuring the Group CEO is well-equipped to make timely, impactful decisions.
Communication, Gatekeeping & Liaison: Act as a trusted point of contact and gatekeeper for the Group CEO with internal teams and external partners while maintaining positive stakeholder relationships. Manage clear, concise written and verbal communications, ensure timely responses, and facilitate smooth coordination across the business.
Presentation Management: Oversee the creation of board packs, including review, amendment, preparation, and ensuring all documents remain on brand with a unified style.
You will be accountable for:
Fostering strong, transparent internal connectivity between the Group CEO and the wider workforce.
Exercising discretion, sound judgment, and maintaining complete confidentiality when handling sensitive information.
Integrating AI-driven tools responsibly to increase productivity and workflow speed across executive office tasks.
Ensuring the Group CEO's review and sign-off pipeline for company materials is streamlined and executed without bottlenecks.
Maintaining a strong sense of ownership and drive to deliver results across all assigned executive tasks and priorities.
You will be supporting:
The Group CEO directly as your primary line manager.
The broader Exec Team and board members with ad-hoc support.
Your skillset:
Experience: Minimum of 5 years of experience as a C-Suite Executive Assistant within a fast-paced business environment.
Organisational Excellence: Exceptional organisational skills with a proven ability to manage multiple priorities simultaneously, multitask efficiently, oversee budgets and invoices, and thrive under pressure.
Proactive Drive & Autonomy: Proactive and self-motivated - you don't wait for instructions, operating with a high level of autonomy and flexibility in a dynamic, fast-changing environment.
Problem-Solving & Attention to Detail: Strong problem-solving abilities, high attention to detail, and the resourcefulness to handle unexpected issues promptly.
Tech & AI Fluency: Tech-savvy with hands-on experience using modern tech stacks (Google Workspace, Slack) and AI productivity tools to automate routines, summarise documents, and enhance workflow quality.
Communication & Presentation: Clear, concise written and verbal communication skills.
Stakeholder Management & Relationships: Excellent gatekeeping abilities paired with diplomatic interpersonal skills to build positive, trustworthy relationships across all levels of the organisation.
