Position Summary

The Scribe Trainer plays a critical role in ensuring the delivery of exceptional patient care throughout our multi-specialty ophthalmology practice. This position serves as both a highly skilled ophthalmic scribe and a mentor to new and existing scribes and technicians, promoting excellence in clinical documentation, workflow efficiency, and adherence to physician preferences and regulatory requirements.

The Scribe Trainer will support training and onboarding efforts across multiple clinic locations and must be willing to travel as needed to facilitate in-person training, competency assessments, ongoing staff development, compliance with MACRA/MIPS measures, and adherence to established exam components and provider-specific documentation standards. In addition to scribe education, the Scribe Trainer may assist with ophthalmic technician training and cross-training initiatives as needed to support clinic operations and ensure consistency in patient care standards.

The ideal candidate is an experienced ophthalmic professional with strong communication, organizational, and leadership skills who is passionate about teaching others and fostering a culture of continuous improvement.

 

Essential Duties and Responsibilities

Training & Development

· Develop, coordinate, and deliver comprehensive onboarding and training programs for new scribes and technicians.

· Provide hands-on instruction in ophthalmic terminology, exam documentation, EHR workflows, clinic operations, and physician-specific preferences.

· Serve as a mentor and educational resource for new and existing scribes.

· Assess trainee progress and provide constructive feedback to ensure competency and confidence.

· Identify ongoing educational needs and implement training opportunities to support professional growth.

· Maintain training materials, resources, and competency checklists.

· Assist with ophthalmic technician training, cross-training, and skills development initiatives as needed to support operational excellence and continuity of patient care.

Quality Assurance & Compliance

· Conduct routine audits of scribe documentation to ensure accuracy, completeness, and consistency.

· Monitor compliance with MACRA/MIPS requirements, documentation standards, coding-related elements, and organizational policies.

· Ensure exam components and provider-specific charting preferences are accurately reflected in documentation.

· Identify documentation trends and opportunities for improvement and provide corrective training as needed.

· Partner with providers and leadership to establish and maintain documentation best practices.

Leadership & Communication

· Act as a role model for professionalism, integrity, teamwork, and patient-centered care.

· Ensure regular communication with team members regarding the effective and efficient delivery of high-quality services.

· Collaborate with physicians, clinical leadership, and staff to optimize workflows and improve productivity.

· Support a positive work environment that encourages accountability, engagement, and continuous learning.

· Participate in departmental meetings and contribute to process improvement initiatives.

Clinical Scribing

· Perform medical scribing duties as needed within a multi-specialty ophthalmology setting.

· Accurately document patient encounters, histories, examinations, diagnostic testing, assessments, and treatment plans in the electronic health record.

· Assist providers in maintaining efficient patient flow and clinic productivity.

· Ensure all documentation is completed accurately and timely.

 

Travel Requirements

· Regular travel between practice locations is required to support onboarding, training, mentoring, and competency evaluations of scribe staff.

· Travel may be required for new clinic openings, provider onboarding, workflow implementation, staff development initiatives, and quality assurance activities.

· Must possess reliable transportation and maintain a valid driver's license.

· Ability to travel locally on a regular basis, with occasional travel outside the immediate service area as business needs dictate.

 

Qualifications

Required

· High school diploma or General Education Degree (GED).

· Previous ophthalmic scribing experience.

· Advanced knowledge of electronic health records (EHR) and demonstrated proficiency in documentation workflows.

· Excellent communication, listening, interpersonal, and organizational skills.

· Ability to teach, coach, and mentor others in a professional and supportive manner.

· Strong attention to detail and commitment to documentation accuracy.

· Demonstrated leadership abilities and problem-solving skills.

· Ability to work independently and collaboratively in a fast-paced clinical environment.

Preferred

· Certified Ophthalmic Assistant (COA) certification.

· Certified Ophthalmic Technician (COT) certification.

· Experience training, onboarding, or supervising clinical staff.

· Knowledge of MACRA/MIPS quality measures and ophthalmic documentation requirements.

 

Physical Requirements

· Ability to stand, walk, bend, stoop, and sit for extended periods.

· Ability to use a computer and other office equipment for prolonged periods.

· Ability to communicate effectively with patients, providers, and staff.

· Ability to travel between clinic locations as needed for training, auditing, and staff development activities.
