We are looking for an organized, dependable individual who enjoys supporting multiple areas of a business and takes pride in accuracy, follow-through, and helping others. If you are comfortable balancing changing priorities, working with customers and employees, and keeping important office processes moving, we want to hear from you.
Compensation
$60,000 - $65,000 annually, depending on experience.
What You’ll Do
Answer and route calls, greet customers and visitors, receive packages, manage mail, maintain office supplies, and support shared office areas.
Receive and process customer purchase orders; verify quantities, lead times, revision levels, and pricing; resolve discrepancies; and respond to order-status questions.
Enter and maintain orders in our internal , prepare job packets and supporting documents, and update customer order spreadsheets and production schedules.
Coordinate expected production and shipping dates, process schedule changes, and distribute updated schedules.
Document customer complaints and warranty claims, route issues for investigation, track corrective actions, and coordinate customer follow-up.
Assist with routine accounts payable and accounts receivable activities, including data entry, invoice and purchase-order matching, check processing, customer billing, cash collections, filing, and approval routing.
Maintain purchasing and vendor records, coordinate required documentation and approvals, and help resolve routine discrepancies.
Partner with Human Resources and site leadership to coordinate interviews, onboarding and offboarding paperwork, employee communications, training records, meetings, meals, and employee events.
Maintain organized safety, quality, training, and audit records; document procedures; cross-train on critical tasks; and provide backup coverage for essential office functions.
What We’re Looking For
Preferred Qualifications
High school diploma or equivalent required; associate degree or related administrative training preferred.
Two or more years of administrative, accounting, customer service, or office-support experience preferred; manufacturing experience is a plus.
Working knowledge of Microsoft Outlook, Word, and Excel, with the ability to learn company systems.
Experience with SAP, JobBOSS, or a similar ERP/MRP system is preferred.
Accurate data-entry, basic math, recordkeeping, and document-management skills.
Strong organization, time management, communication, and customer-service skills.
Ability to handle confidential information with discretion, work independently, take initiative, and collaborate across multiple functions.
Physical Requirements
Ability to regularly operate a computer, telephone, and other office equipment and remain in a stationary position for extended periods.
Ability to move throughout the office and occasionally enter the production floor while wearing required personal protective equipment.
Ability to occasionally lift or move office materials and supplies weighing up to 20 pounds.
