The Role
The Proposal Associate serves in a support capacity assisting Proposal Managers with recurring questionnaires, RFIs, RFPs, client requests, and sales support deliverables. You will help prepare accurate, complete, and client-ready drafts by leveraging AI-assisted drafting tools, approved proposal content, and apply established protocol and proposal language. You will also support client research by gathering relevant information and organizing RFP materials for Proposal Manager review and follow-up. This position is ideal for someone who is highly organized, detail-oriented, curious, and comfortable using technology to improve speed, quality, and consistency. Working under the guidance of a Proposal Manager, the role supports proposal execution by reducing manual effort, coordinating inputs, and helping ensure content is prepared for timely review by proposal managers.
Responsibilities
Leverage Loopio AI features and other approved AI-assisted tools to accelerate research, draft response options, summarize source materials, and identify potential content matches.
Review AI-generated or pre-populated responses for relevance, completeness, formatting, and alignment to the question being asked before routing begins.
Conduct targeted research using approved sources, including Loopio and other internal knowledge repositories, client materials, and publicly available information when appropriate.
Identify gaps where standard content does not fully answer the question and escalate.
Proofread and edit proposal content for grammar, clarity, consistency, formatting, brand alignment, and client-ready presentation.
Support the completion of standard and recurring RFPs, RFIs, due diligence questionnaires, broker/TPE questionnaires, client questionnaires, and other sales response requests.
Requirements
Bachelor’s degree preferred, or equivalent experience in proposal support, sales operations, project coordination, research, communications, marketing, business operations, or a related field.
One to three years of experience in proposal coordination, RFP support, sales enablement, business development support, client service, project administration, or content management preferred.
Experience using Loopio, Salesforce, SharePoint, Highspot, Microsoft Teams, Microsoft Word, Excel, PowerPoint, and Outlook preferred.
Comfortable using approved AI tools to support drafting, research, summarization, content comparison, and productivity, with an understanding that AI-generated content must be reviewed and validated before use.
Strong research skills with the ability to gather information from multiple sources, synthesize findings, and identify when expert input is required.
Excellent attention to detail, including the ability to review responses for accuracy, completeness, consistency, compliance, grammar, and formatting.
Strong organizational skills with the ability to manage multiple assignments, deadlines, and priorities in a fast-paced environment.
Clear written and verbal communication skills, with the ability to follow up professionally and work effectively with cross-functional teams.
Preferred Requirements

Ability to distinguish between standard reusable content and responses that require customization, SME validation, or client-specific tailoring.
Proactive communicator who asks thoughtful questions, escalates risks early, and takes ownership of assigned work.
Continuous improvement mindset with interest in improving response quality, content freshness, searchability, and first-draft accuracy.
Work Environment
The RFP Specialist / Proposal Coordinator will collaborate regularly through Loopio, Microsoft Teams, SharePoint, and other digital workspaces. Some flexibility may be required to support client deadlines, high-volume proposal periods, or time-sensitive submissions.

60,000.00 USDMaximum :
