Description

The SSS IV provides intermediate administrative support and clerical duties within their respective department.  This person must have strong organization, computer and typing skills.

A criminal background check may be required.
 
Following is a composite of essential duties, tasks and accountabilities; however, there are additional duties specific to each department. Attached to this job description is a breakdown of specific duties and tasks, by Department.

SSS IV conduct independent participant assessments, provide nutrition education, prescribe food packages, and take on advanced clinical, advanced administrative assignments, and program support responsibilities.

Pre-Clinic Duties

  • Contact pre-applications, referrals, and interested applicants to screen for eligibility and schedule enrollment appointments
  • Make reminder phone calls and send text messages to participants
  • Follow up with all no-show participants
  • Prepare, organize, and maintain clinic materials and supplies
  • Translate written materials as needed
  • Prepare reports using WIC system

 

Clinic Duties

  • Distribute and explain WIC benefits to new and existing participants
  • Completes routine data entry and documentation in PA WIC MIS (PENN).
  • Schedules appointments and maintains participation records.
  • Load EBT cards and troubleshoot EBT redemption issues
  • Determine eligibility (income, household size, ID, residency, benefits)
  • Performs Hemocue testing to assist nutritionists when needed.
  • Provide basic nutrition education
  • Provide Farmers Market Nutrition Program services
  • Translate verbally for nutritionists as needed
  • Provide and document basic information on WIC nutrition and health services
  • Conduct and document complete participant assessments
  • Perform and interpret anthropometric (ht, wt) and Hemocue results and document in WIC MIS
  • Conduct participant screenings using probing questions to assess health, nutrition, and socioeconomic status
  • Obtain and document medical and dietary histories
  • Develop individualized care plans for follow-up visits
  • Select and deliver targeted nutrition education based on participant needs.
  • Identify and document WIC nutrition risk codes
  • Deliver and document nutrition education, including breastfeeding promotion and support
  • Develop nutrition care plans for low-risk participants
  • Prescribe and tailor WIC food packages
  • Participate in meetings and continuing education
  • Consult/refer participants to NEC, CPA, Breastfeeding Coordinator when situations exceed scope 

 

Post-Clinic Duties

  • Follow up with participants as needed
  • Encourage compliance with referrals through follow-up
  • Document services and update records in PA WIC MIS
  • Prepare and review reports in PA WIC MIS
  • Ensure accurate documentation of clinical services and outcomes

 

Other Duties:

  • Attend required meetings and trainings
  • Participate in outreach activities
  • Answer clinic phone calls and messages
  • Maintain clinic supplies
  • Promote and support breastfeeding
  • Schedule appointments
  • Assist with training new staff
  • Manage WIC inbox
  • Communicate with external providers (e.g., doctors’ offices) to verify participant information.
  • High School Diploma or General Education Degree (GED).
  • Minimum of one year of general office experience.
  • Intermediate skills in using a personal computer and various software packages.
  • Excellent verbal and written communication skills.
  • Strong typing skills (minimum of 50 wpm).
  • Ability to use office machines (fax, copier, calculator, etc.).
  • Strong interpersonal skills.
  • Strong grammar and spelling skills. 
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. 
  • Ability to work as part of a team.
  • Flexibility.
  • Ability to interface effectively with all levels of county management.
 
Preferred Skills, Knowledge & Experience:
  • Associate degree from an accredited college or university with courses in Office Administration, or equivalent combination of education and experience.
  • Excellent ability to establish priorities, work independently, and proceed with objectives without supervision.
  • Bilingual ability to comprehend and communicate, verbally and in writing, clinical information, medical terminology, health advice, and other complex topics, especially in Spanish.
  • Customer service experience.
  • Ability to establish priorities and carry tasks to completion.
  • Strong ability to handle and resolve recurring problems.
  • Ability to multi-task.
  • Accurate and detail oriented.
  • Ability to follow office protocol.
  • Strong knowledge of county policies and procedures.

Physical demands will vary by department and may include the following:
While performing the duties of this position, the employee is frequently required to stand, walk, sit, bend at the waist, and talk or hear. Occasionally, the employee will need to reach or work with arms above shoulder height; kneel, stoop, crouch, or squat; crawl; climb stairs; climb or work on a ladder; twist or rotate at the waist while working; push, lift or carry items; work with office machinery, and work with an uncommon level of noise.  
 
The specific vision requirements listed for this position are:

  • Some work locations may have strong odors.
  • May need to drive in extreme weather conditions.
