Overview
Reporting to the Director of Operations, the Program Coordinator will provide coordination and administrative support for all aspects of the Tsai Leadership Program at Yale Law School. This includes but is not limited to the planning and execution of related to events and meetings of the program, onboarding of Leadership Program Fellows, and ongoing administrative support of program activities, under the direction of the Executive Directors.
- Extensive database maintenance, supplies maintenance, and written correspondence.
- Oversight of reimbursements and travel and accommodation reservations.
- Support the Director of Operations, the Executive Directors for the Private and Public sector segments of the program and the Fellow in Residence.
- Oversee and coordinate program activities.
- Establish, implement, and. coordinate administrative functions, procedures, and systems based on knowledge of and experience with program activities, objectives and staff.
- Serve as principal source of information on law school policies, procedures, programs and office activities.
- Establish and maintain professional relationships with internal and external contacts (including donors).
- Process and monitor expenses and ensures adherence to budgetary guidelines.
- Assist Director of Operations to compile reports.
- Assist in the composition and correspondence. Provide editorial support for marketing materials. Proofread and edit material for grammatical and factual accuracy. Track copy through various editing and production stages.
- Ensure compliance with University policies, Federal, and State guidelines, rules, and regulations.
- May perform other duties as assigned.
*This position is a 10-month annual work period with a 2-month leave. *Occasional nights and weekends may be required.
Required Skills and Abilities
1. Strong communication skills. Experience dealing diplomatically and effectively with high profile donors and constituents with ability to handle confidential matters.
2. Demonstrated ability to schedule complex meetings, conferences and events. Demonstrated ability with all aspects of event and meeting planning and execution, including developing and assembling meeting materials, arranging rooms, travel, catering, transportation and hotel accommodations.
3. Intermediate to advanced computer skills with Microsoft Office Suite including proficiency with Word, Excel, PowerPoint and Outlook. Working knowledge of Adobe software and Hopper or another CRM system.
4. Demonstrated ability preparing expense reimbursements. Demonstrated ability reconciling credit card statements.
5. Strong organizational skills and attention to detail.
Preferred Skills and Abilities
1. Bachelors degree in related field.
2. Ability to work independently.
3. Experience working with Yale donors and alumni.
Principal Responsibilities
1. Oversees and coordinates program activities. Establishes, selects, implements, and coordinates administrative functions, procedures, and systems. 2. Based on knowledge of and experience with program activities, objectives and staff, serves as principal source of information on policies, procedures, programs and office activities. Establishes and maintains professional relationships with internal and external contacts. 3. Processes and monitors expenses and ensures adherence to budgetary guidelines. Prepares budget drafts based on existing budgets. May oversee, coordinate and/or complete applications and materials needed for grant submission. 4. Composes substantive correspondence and written material. Determines sources of data. Compiles, synthesizes and manipulates data. Summarizes findings and writes, produces and distributes reports or portions of reports. May create simple databases. 5. Provides editorial support for a journal/publication. Proofreads and edits material for grammatical and factual accuracy. Tracks copy through various editing and production stages. Communicates with authors, printers, and others concerned with published work. 6. Oversees, instructs, and coordinates activities of support staff. 7. Ensure compliance with University, Federal, and State guidelines, rules, and regulations. 8. May perform other duties as assigned. Required Education and Experience Six years of related work experience, four of them in the same job family at the next lower level and a high school level education; or four years of related work experience and an Associate degree; or little or no work experience and a Bachelor degree in a related field; or an equivalent combination of experience and education.Job Posting Date
