Description
As an Admin Team Leader, you will lead and support the Administration Team to ensure the efficient delivery of administrative and operational processes across the business. Reporting to the Planning Manager, you will be responsible for managing team performance, maintaining service levels, driving continuous improvement, and ensuring the accurate and timely delivery of all administrative functions.
You will act as the first point of escalation for administrative queries, support the development of team members, and work closely with operational, commercial, and customer stakeholders to ensure an exceptional level of service is delivered.
Key Responsibilities
- Lead, motivate and develop the Administration Team to deliver exceptional levels of customer service and operational support.
- Manage the day-to-day workload of the team, ensuring all tasks are completed accurately and within agreed timescales.
- Monitor team performance against KPIs and service level agreements, implementing corrective actions where required.
- Act as the first point of escalation for customer, operational and administrative issues.
- Ensure all works are accurately captured, processed and maintained within company management systems.
- Oversee the timely collation, coordination and distribution of operational job packs and supporting documentation.
- Produce and review daily, weekly and monthly management reports, providing insight and recommendations for improvement.
- Work closely with Planning, Operations, Commercial and other departments to ensure client requirements are met effectively.
- Identify opportunities to improve systems, processes and ways of working to enhance efficiency and customer service.
- Support recruitment, induction, training and ongoing development of administration team members.
- Conduct regular performance reviews, one-to-one meetings and coaching sessions.
- Ensure compliance with company policies, procedures and quality standards.
- Promote and maintain a positive team culture aligned with company values.
- Ensure health, safety and wellbeing concerns are reported and managed in line with company procedures.
- Support the Planning Manager with departmental projects and business improvement initiatives.
Experience and Qualifications
- Previous experience in an administration, planning or operational support environment.
- Experience leading, supervising or mentoring a team.
- Strong organisational skills with the ability to prioritise workload and manage multiple competing demands.
- Excellent communication and interpersonal skills.
- Strong IT skills, including Microsoft Office applications and management systems.
- High attention to detail and commitment to accuracy.
- Ability to analyse data and produce meaningful reports.
- Problem-solving mindset with a proactive approach to continuous improvement.
- Experience within the traffic management, utilities, highways or construction sector would be advantageous but is not essential.
