We are seeking a highly organized and proactive Program and Operations Coordinator to join our dynamic, mission-driven EdPlus Digital Learning (EDL) team. Every day you will make a difference in the lives of others by helping shape the future of digital learning at one of the world's most innovative universities. You will play a critical role in supporting the design and scalable delivery of online learning experiences that increase student success and expand access to education around the globe.

Every course our team builds moves through a pipeline: it is scoped, assigned, developed, approved, scheduled, and revised. At any given time, hundreds of courses are somewhere in that journey. Your role is to ensure every project stays on track by maintaining accurate records, coordinating across teams, anticipating needs, and communicating proactively. Your work enables instructional designers to focus on designing engaging, learner-centered experiences while helping faculty and stakeholders stay informed and aligned.

This is more than an operations role; it's an opportunity to contribute to a future-thinking organization where thoughtful coordination, process improvement, and collaboration directly support the success of learners worldwide. When the tracking is accurate and communication happens early, designers spend more time designing, faculty are never surprised, and students receive high-quality courses on time. If you're energized by creating order, improving systems, and helping cross-functional teams do their best work, we'd love to meet you.

Essential Duties:

Course Tracking and Data Management

  • Track, maintain, and continuously improve course development records, schedules, approvals, and related data using Airtable, Jira, and other project management and tracking systems to ensure accuracy, visibility, and accountability.
  • Manage and maintain comprehensive documentation for EdPlus course development activities, including program affiliations, timelines, development status, approvals, communications, and supporting records.
  • Monitor course schedules and development milestones, proactively identifying delays or missing approvals, communicating with program managers and stakeholders, and coordinating adjustments as needed.
  • Prepare and distribute reports, dashboards, status updates, presentations, briefing materials, and other documentation to support instructional design leadership and stakeholder decision-making.

Instructional Design Team and Program Support

  • Serve as the primary coordinator and administrative support for the instructional design team by managing workflows, timelines, resources, scheduling, documentation, and quality assurance activities across multiple concurrent projects.
  • Support the onboarding, coordination, and execution of new course development initiatives, program launches, and other operational projects led by EDL leadership.
  • Support the Assistant Director of Program Learning Experience and the Associate Director of EDL Operations with program-level initiatives, operational planning, process improvements, and special projects.

Communication and Stakeholder Coordination

  • Act as a liaison among instructional designers, faculty, program managers, and other EdPlus units to facilitate effective communication, collaboration, course development, scheduling, and maintenance.
  • Develop, maintain, and enhance operational tools, Airtable automations, interfaces, job aids, training materials, videos, and other resources that improve team processes, communication, and efficiency.

Assume or coordinate other duties or projects as assigned or directed.

NOTE: This is an in-person, hybrid position. You must be able to reliably commute to Scottsdale, AZ.

Desired Qualifications:

  • Bachelor's degree or higher in a related field.
  • Experience using project management or tracking tools such as Airtable, Jira, or similar platforms.
  • Evidence of familiarity with instructional design processes, online course development, or higher education academic operations.
  • Evidence of strong organizational skills and attention to detail, with the ability to manage multiple projects and priorities simultaneously.
  • Demonstrated experience supporting cross-functional teams and preparing reports, dashboards, or recap documents.
  • Evidence of proactive communication and the ability to work effectively with instructional designers, faculty, and other stakeholders.
  • Demonstrated ability to work effectively in a fast-paced, collaborative environment across multiple teams.

NOTE: Please answer the following questions in your cover letter:

  • Describe a time you kept a multi-step project on schedule across several people who did not report to you. What system did you use to track it, and how did you communicate when something slipped?
  • Describe a tracking tool, process, or document you built or improved that others kept using after you set it up.
